The Process Documentation Specialist owns the day-to-day execution of 3CI’s Standard Operating Procedure (SOP) program. This role works directly with subject matter experts and department leaders across the organization to document, review, publish, and maintain the processes that guide how 3CI operates.

You’ll manage SOPs through the full lifecycle, from kickoff meetings and working sessions with department teams through revisions, approvals, and final publication on the company Intranet. 3CI already has an established SOP process, templates, tools, and resources in place, so this role is focused on executing and sustaining the program rather than building it from scratch. This position is a key connection point between the operational knowledge that lives within our departments, and the organized, accessible documentation employees need to do their jobs consistently. As the program grows, this role will take on increasing ownership of the documentation process while supporting broader Learning & Talent Development initiatives.

Key Responsibilities

Drive SOP Development: Partner with department leaders and subject matter experts to identify and document critical business processes. Facilitate kickoff meetings and working sessions to capture process details accurately and efficiently.

Manage the SOP Pipeline: Own active SOPs through the established development process, from initial preparation through review, approval, and publication. Maintain program tracking and keep work moving according to established timelines.

Facilitate Review & Revisions: Prepare SOPs for review, coordinate feedback with subject matter experts and stakeholders, and manage revisions to ensure documentation accurately reflects the process.

Coordinate Approvals: Route completed SOPs through the appropriate approval process, communicate next steps to stakeholders, and escalate questions, scope issues, or approval concerns to the LTD Manager.

Publish & Maintain Documentation: Finalize and publish approved SOPs to the 3CI Intranet using established formatting, naming, and quality standards. Maintain version control and coordinate periodic reviews and updates as processes change.

Support Process Adoption: Partner with the LTD Manager and department leaders to support SOP-related training, process-change communications, and resources that help employees understand and adopt new or updated procedures.

Qualifications

  • Bachelor’s degree in Human Resources, Business, Construction Management, Learning & Development, Communications, or a related field is preferred; equivalent experience will be considered
  • Strong organizational and project management skills, with the ability to manage multiple priorities, stakeholders, and deadlines while maintaining accuracy and attention to detail
  • Strong written and verbal communication skills, including the ability to facilitate meetings, work effectively with stakeholders, and create clear, accessible documentation
  • Experience writing, editing, or coordinating SOPs, process documentation, technical documentation, or similar materials
  • Proficiency with Microsoft 365, including SharePoint, Word, Outlook, and Excel
  • Experience with process mapping, flowcharts, or other methods of documenting workflows is a plus
  • Experience coordinating cross-functional projects or working with stakeholders across multiple departments is a plus
  • Self-directed and comfortable working independently, managing a pipeline of work, and knowing when to ask questions or escalate issues
  • Comfortable learning new systems and tools and adapting to changing processes and priorities
  • Construction industry experience is a plus, but not required
