**Job Summary**

We are seeking a organized and proactive **Office Manager** to run the administrative backbone of our growing specialty construction business. This role is responsible for overseeing the day\-to\-day operations of the office, acting as the primary point of contact for clients, vendors, and field crews, and supporting our team with project financials, compliance, and scheduling. The ideal candidate is a self\-starter who thrives in small groups, works well independently, communicates efficiently and has prior experience in construction administration or bookkeeping.

**Key Responsibilities**

The Office Manager will own the administrative flow of our projects, working closely with the owner, project manager, or marketing manager to ensure operations run smoothly from estimate to closeout.

**Core Duties**

**Project \& Contract Administration**

* Track project deadlines and maintain accurate digital/physical project files. * Assist in transcribing project estimates, quotes, and PO’s. * Manage and track construction permits, business licenses, and Certificates of Insurance (COIs). * Request, track, and process conditional and unconditional lien waivers.

**Financial \& Job Cost Support**

* Process and route vendor invoices, purchase orders, and supplier bills for approval. * Assist with accounts payable/receivable (AP/AR), including tracking pending payments and client invoicing. * Reconcile credit card statements and ensure expenses are coded to the correct job.

**Vendor \& Client Relations**

* Field inbound calls and emails from clients, addressing basic inquiries or escalating to project managers. * Coordinate material deliveries with suppliers and track * Communicate with subcontractors regarding scheduling, agreements, and required paperwork.

**Office Operations**

* Manage the general day\-to\-day office environment, including ordering supplies and maintaining equipment. * Optimize office systems and continuously improve administrative workflows.

**Qualifications \& Requirements**
