We are a busy trucking and transportation company based in Richmond, BC, specializing in trucking, transload operations, and long-haul services across Canada and the United States.
We are currently seeking a motivated and detail-oriented Administrative Dispatch Assistant to support our fast-paced Richmond office. This is an excellent role with strong growth potential for the right candidate.
Position Overview
The Administrative Assistant will provide support across multiple divisions, including reception, accounting, dispatch, and operations. You will work closely with the Office Manager, President, Business Manager and accounting team to ensure smooth daily operations.
Key Responsibilities
- Provide administrative support across various departments
- Assist accounting with accounts receivable (AR) and accounts payable (AP)
- Work closely with the Office Manager and Head Bookkeeper
- Prepare cross-border customs documentation for U.S. shipments
- ACE / ACI manifests
- Support dispatch operations, including coordinating routes and deliveries
- Perform data entry, rating slips, invoicing, and reconciliation
- Assist with customer calls, delivery coordination, and dispatching as needed
- Maintain organized filing systems (digital and physical)
- Create files, work orders, and documentation for jobs and repairs
- Maintain driver and employee records
- Assist with transport safety, compliance, and record-keeping
- Develop and maintain customer rate sheets
- Support marketing and social media initiatives (as needed)
- Provide general reception and office support
Skills & Qualifications
- Experience in trucking, logistics, or freight industry is an asset
- Accounting experience or familiarity with QuickBooks required
- Strong time management and organizational skills
- Excellent communication and customer service skills
- Professional, courteous, and able to work well under pressure
- Proficient in Microsoft Office (Word, Excel, Outlook) and general computer use
- Ability to learn new systems and software quickly
- Strong problem-solving and analytical abilities
- Accurate and efficient data entry skills
- Detail-oriented and highly organized
- Ability to work both independently and in a team environment
- Able to manage multiple priorities in a fast-paced setting
