AI Automation Lead (Remote) | Australian Renewable Energy & Operations Automation

Staffstream is hiring a AI Automation Lead for a growing Australian renewable energy company specialising in commercial and industrial solar, battery storage, and EV charging. The business handles everything from sales enquiries and estimating through to engineering, procurement, installation, and compliance, and it wants to grow by building smarter systems rather than just adding headcount.

This is a hands-on build role, not an IT management job and not a strategy-only job. You'd report to the Managing Director, learn how the business actually runs, find the repetitive manual work, and build practical AI-powered workflows that remove it. The first focus is Operations and Project Management, where you'd connect the business's estimating and job management systems so information is entered once and flows through. Success is measured in real outcomes: less manual admin, less duplicated data entry, and faster turnaround. This role is open to candidates based in the Philippines.

What you will actually do

First focus: Operations and Project Management

• Automate job creation and project handovers once a quote is accepted.
• Build workflows between Pylon (solar estimating) and ServiceM8 (job management), so data is entered once and shared across both.
• Automate material and procurement tracking.
• Set up automatic reminders for outstanding approvals, inspections, deliveries, and site activities.
• Produce automatic project status updates and flag overdue tasks or project delays.
• Improve communication between sales, estimating, engineering, operations, and installation teams.

AI tools and agents

• Build customised ChatGPT workflows and AI assistants for different parts of the business.
• Build AI agents that can handle multi-step tasks across connected systems, including document generation, email management, reporting, and task allocation.
• Create reusable prompt frameworks, knowledge bases, and standard operating procedures for AI use.
• Explore integrations through the OpenAI API and other relevant tools.

Process automation and integration

• Review and document existing workflows, and spot duplicated data entry, communication gaps, and inefficient steps.
• Connect disconnected systems through APIs, webhooks, supported connectors, or automation platforms, where it makes technical and commercial sense.
• Monitor your automations and keep improving how they perform.

Safety, governance, and training

• Build in human approval checkpoints for sensitive or business-critical actions, including external communications and technical approvals.
• Set guidelines for responsible AI use, access, and handling of confidential business and customer information.
• Test new workflows before they go live, with error handling, monitoring, and clear documentation so they stay maintainable.
• Train the team to use ChatGPT well and move from manual to automated ways of working.

Where the role may grow

• Sales and estimating automation, such as lead capture, RFQ and tender monitoring, pipeline updates, and sales dashboards.
• Engineering and compliance documentation, such as document tracking, network application workflows, and rebate administration. Technical design and compliance decisions always stay with qualified professionals.
• Automated management reporting, such as daily operational summaries and project progress reports.

What you need to bring

• Strong, hands-on ChatGPT and OpenAI experience. This is non-negotiable, since it's the main AI platform used across the business.
• A track record of putting AI solutions to work in a real business, not just in demos.
• Experience building and deploying automated workflows, and integrating software platforms and business applications.
• Working knowledge of APIs, webhooks, data structures, and automation tools.
• A strong grasp of business process improvement, and the ability to spot problems and build workable solutions on your own.
• The ability to manage a project from idea through to launch and ongoing improvement.
• Clear communication, and comfort working directly with management and operational teams.
• Good judgement about AI: you use it to simplify the business, and you prioritise projects by real business value.

Nice to have

• Experience with Claude, Power Automate, or similar automation tools (n8n, Make, Zapier). A bonus, not essential.
• Experience with Pylon, ServiceM8, or EstimateOne.
• Experience with Microsoft 365, Outlook, and SharePoint.
• Experience building custom GPTs, AI agents, and OpenAI API integrations.
• Programming skills in Python, JavaScript, or similar, and experience with databases or reporting dashboards.
• Experience automating workflows in a growing small or mid-sized business.
• Exposure to solar, renewable energy, electrical contracting, construction, or trade services. Helpful, but not essential: strong AI skills and proven results matter more.

The setup

• This role is open to Philippines-based candidates.
• The role starts part-time at 20 hours per week, scheduled within Australian business hours. Full-time may be considered for someone with proven experience in a comparable Chief AI Officer role, ideally with exposure to the solar industry.
• Fully remote, working directly with the Managing Director and the operations team.
