Reporting to the Senior Manager, Procurement Operations (Partner, Procurement Ops Optimization), the Procurement Shared Services Analyst supports Air Canada's procurement shared services activities across multiple procurement platforms, including SAP Ariba, SAP Fieldglass, SmartDoc, and associated procurement solutions.

The successful candidate plays a key role in supporting operational activities, stakeholder inquiries, issue resolution, data integrity, user adoption, reporting, and process improvements. Applying sound judgement and platform expertise, the Analyst works closely with Procurement, Finance, Accounts Payable, IT, suppliers, and business stakeholders to ensure effective and efficient delivery of procurement shared services.

Responsibilities:

Procurement Shared Services Operations

  • Support the delivery of procurement shared services activities in accordance with established policies, procedures, controls, and service level expectations.
  • Provide operational support and guidance to internal stakeholders, suppliers, and cross-functional teams regarding procurement processes and platform-related inquiries.
  • Investigate and resolve transaction discrepancies, operational issues, and process exceptions requiring analysis and stakeholder coordination.
  • Prepare operational reporting, KPI tracking, and management information to support business decision-making

Procurement Platform Support

  • Support operational activities across procurement platforms including SAP Ariba, SAP Fieldglass, SmartDoc, and other procurement technologies.
  • Perform platform-specific activities such as invoice validation, contingent workforce administration, supplier enablement support, master data maintenance, workflow monitoring, and exception resolution.
  • Support the onboarding and implementation of suppliers, agreements, services, and business requirements within procurement platforms.
  • Monitor transaction accuracy, data quality, system workflows, and exception trends and take appropriate action to support timely resolution.

User Support & Continuous Improvement

  • Provide training, guidance, and ongoing support to platform users, suppliers, and business stakeholders.
  • Develop and maintain process documentation, user guides, training materials, and knowledge resources.
  • Participate in testing, system enhancements, process improvements, and change management activities to support platform adoption and operational efficiency.

Controls, Compliance & Data Integrity

  • Support audit, compliance, and control activities through data validation, documentation maintenance, and process reviews.
  • Maintain the accuracy and integrity of procurement-related master data and operational information.
  • Identify recurring issues, process gaps, and improvement opportunities, and provide recommendations to strengthen controls, data quality, and service delivery.

Other Related Duties as Required

Qualifications

  • University degree in a relevant field of study (business, finance, accounting, or supply chain)
  • 3-5 years of experience in procurement, shared services, procure-to-pay operations, supplier management, contingent workforce management, business systems support, or a related field.
  • Experience working with procurement technologies such as SAP Ariba, SAP Fieldglass, SmartDoc, SAP S/4HANA, or similar enterprise platforms.
  • Strong analytical and problem-solving skills with the ability to investigate issues, analyze data, identify root causes, and recommend practical solutions.
  • Excellent communication and interpersonal skills with the ability to effectively support and collaborate with stakeholders at all levels of the organization.
  • Demonstrated ability to manage multiple priorities, work independently, and adapt to changing business requirements in a fast-paced environment.
  • Experience supporting system implementations, testing activities, process improvements, reporting, or continuous improvement initiatives is considered an asset.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, PowerPoint, and reporting or data analysis tools.
