Overview

We are seeking a dynamic and organised Service Coordinator / Office Administrator to join our team. This vital role ensures the smooth operation of daily workload for our Fire and Security Engineers, within our service department, manages client and team communications, and supports administrative processes that keep our workload and workplace efficient and welcoming. The ideal candidate will bring enthusiasm, attention to detail, a proactive and friendly approach to their work, helping us deliver exceptional service and maintain a productive environment.

Responsibilities

  • Manage incoming calls with professionalism, demonstrating excellent phone etiquette to assist clients, visitors, and team members effectively.
  • Coordinate service schedules, appointments, and meetings to ensure timely delivery of services and efficient workflow.
  • Creating and updating customer records and ensuring information is accurately recorded within company systems.
  • Manage Engineers diaries, with customer appoinments.
  • Handle data entry tasks accurately using Microsoft Office applications, and Asolvi Alarm Master Pro for work scheduling, invoicing and record-keeping.
  • Maintain organized office records, including filing systems, correspondence logs, and client information to support seamless operations.
  • Support administrative duties such as typing reports, preparing documents, managing emails, and processing invoices or payments.
  • Collaborate with team members to streamline office procedures and improve overall organisational efficiency.

Qualifications

  • Proven office experience with a solid understanding of administrative processes in a professional setting.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Demonstrated clerical experience involving data entry, filing, and document management.
  • Exceptional phone etiquette combined with clear communication skills for engaging with clients and colleagues alike.
  • Ability to type quickly and accurately while managing multiple responsibilities simultaneously.
  • A good team player who is also capable of working independently or part of a team.
  • Familiarity with office equipment such as printers, scanners, and phones is preferred.
