Medical Clinic \& Pharmacy Vendor Account Manager

**Department Mission**

Account Managers are responsible for driving program excellence and ensuring compliance for our physician practices, medical clinics, and pharmacy partners. Through exceptional client service, strategic business management, and accurate claims administration, Account Managers support both partner success and corporate objectives.

**Key Responsibilities**

**1\. Optimize Account Performance \& Drive Growth**

· Manage account production in line with established budget and volume targets for each client.

· Monitor sales volume and collaborate with management and Business Development to maximize account potential.

· Present and promote corporate programs, services, and strategic initiatives to clients.

· Expand existing business by cross‑selling additional programs and soliciting qualified referrals.

· Conduct Quarterly Business Reviews (QBRs) in accordance with company standards; provide additional performance reports as requested by the client.

· Perform routine account analysis to recommend program enhancements, workflow improvements, and operational efficiencies.

· Increase business by driving full client engagement and adoption of all program features.

· Coordinate with pharmaceutical wholesalers and manufacturers to provide regular product consultation as new products launch or local fee schedules change.

· Regularly communicate account performance, trends, and opportunities to the supervisor.

**2\. Onboard \& Ramp Up New Accounts**

· Partner with local Sales Representatives (Business Development) during sales presentations and pre‑installation kickoff meetings as needed.

· Clearly communicate company expectations, deliverables, and required documentation to all client stakeholders; ensure documents are understood and processed at the corporate office in a timely manner.

· Install equipment and train client staff to fully utilize the program, ensuring performance targets are met within the first 4–6 weeks post‑go‑live.

· Gain a working understanding of the client’s workflow so the program can be seamlessly integrated and optimized.

· Plan and be onsite with new accounts for the first three weeks after go‑live to ensure a smooth transition and early success.

**3\. Medical \& Pharmacy Claims Management**

· Maintain a solid understanding of the medical and pharmacy claims lifecycle and the requirements for successful claim payment.

· Stay familiar with major payers and carrier behaviors in the assigned territory.

· Ensure clients understand their obligations to provide claim documentation and the impact of different billing scenarios.

· Manage and fulfill all billing requests for each account:

o General billing requests: within 15 calendar days.

o Pending authorization requests: within 15 calendar days.

· Escalate aging billing requests and non‑compliant accounts to management as appropriate; involve the Billing Manager and/or Business Development as needed.

**4\. Deliver Exceptional Customer Service**

· Anticipate and resolve issues that negatively impact clinic workflows, dispensing operations, and business results.

· Train client staff on software use, compliance requirements, and best practices to capture all revenue opportunities.

· Identify program inconsistencies and address them promptly.

· Respond to client requests and phone calls in a timely, professional manner.

· Provide clients with necessary consumable supplies to support program operations.

· Build and maintain strong relationships with clients at all levels of staff critical to program success.

**5\. Administrative \& Operational Excellence**

· Submit a brief daily activity summary to the supervisor, listing the day’s activities, by 8:00 AM the following day (submitted between 5:00 PM and 8:00 AM).

· Document all clinic site visits and client interactions

· Provide a weekly forecast of planned site visits for the upcoming week to the manager by end of business on Friday.

· Collaborate with internal departments at corporate headquarters to ensure all responsibilities are met.

· Meet special project deadlines while maintaining core daily responsibilities.

· Work effectively with other departments, vendors, and business partners as needed.

**6\. Support Compliance \& Regulatory Requirements**

· Maintain a high level of familiarity with rules and regulations applicable in the assigned territory to ensure program compliance.

· Perform biannual compliance audits as prescribed by company standards; conduct any required follow‑up training or corrective actions promptly.

· Communicate legislative and regulatory changes and trends as directed by supervisor

· Understand and uphold the critical importance of compliance and regulatory responsibilities.

· Maintain current HIPAA knowledge and complete all required HIPAA training.

**Position Requirements**

Candidates must:

· Pass a mandatory drug test., required by the FDA

· Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

· Complete a Customer Service compatibility assessment and meet or exceed the minimum profile requirements.

· Demonstrate exceptional interpersonal, written, verbal, and active listening skills.

· Maintain a polished, professional demeanor and thrive in an independent, field‑based role.

**Required Qualifications:**

· Demonstrate knowledge of Microsoft Office Suite (Word, Excel, Outlook).

· Reliable personal vehicle and a clear driving record.

· Valid personal auto insurance meeting minimum coverage of 100/300/50 (bodily injury and property damage) plus state‑required Personal Injury Protection (PIP).

· Flexibility to travel overnight based on territory assignment, company‑mandated meetings, and occasional conference attendance.

· Provide references from prior employers upon request.

**Preferred Qualifications, but not required:**

· Certified Pharmacy Technician (CPhT).

· College degree (Associate’s or Bachelor’s).

· Experience in medical billing or medical office administration.

· Steady, relevant work history in a customer‑facing role.

**Recommended Experience**

Prior experience in any of the following areas is highly desirable:

· Sales, hospitality, pharmacy, or medical industry roles

· Corporate training or client education

· Health insurance, medical office administration, or hospital/clinic billing

· Any customer service or support function in a regulated environment

Pay: $55,000\.00 \- $75,000\.00 per year
