Job Title: Plant Administrator
Location: Ringus,Jaipur
Reports To: HR Manager
Department: Administration
Role Purpose
To manage all administrative functions of the plant, including infrastructure, security, statutory compliance, contractor and contract labour management, time-office operations, and employee welfare, ensuring smooth plant operations in compliance with legal and organizational standards.
Key Responsibilities
1. Contract Labour Management
- Ensure end-to-end management of contract workforce:
- Contractor onboarding, verification of licenses, PF/ESI codes, and statutory compliance.
- Maintain muster rolls, wage registers, and ensure timely payment of wages as per Minimum Wages Act.
- Monitor PF/ESI contributions and ensure 100% coverage for contract workers.
- Conduct regular audits of contractor compliance (wages, safety, documentation).
- Liaise with contractors for manpower planning and deployment as per production requirements.
- Maintain statutory registers and prepare compliance reports for labour authorities.
2. Statutory & Regulatory Compliance
- Ensure compliance with all labour laws, factory rules, and government regulations.
- Renew licenses and permits on time (Contract Labour License, Factory License, etc.).
- Prepare and submit statutory returns and reports within deadlines.
- Coordinate with HR and Legal for inspections and audits.
3. Time Office & Attendance
- Oversee biometric attendance system for regular and contract employees.
- Validate overtime approvals and ensure adherence to company policy.
- Provide accurate payroll inputs to HR/Finance within timelines.
4. Plant Infrastructure & Facilities
- Manage housekeeping, canteen, transport, security, and other plant facilities.
- Ensure preventive maintenance of administrative infrastructure.
- Monitor vendor performance and ensure SLA compliance.
5. Security & Safety
- Coordinate with security agencies for access control, visitor management, and CCTV monitoring.
- Support EHS team in safety audits, emergency drills, and compliance for contract workforce.
6. Vendor & Cost Management
- Negotiate rates with contractors and vendors to optimize costs.
- Ensure timely processing of invoices and maintain cost control measures.
7. Employee Welfare
- Oversee employee services like canteen, transport, uniforms, and medical facilities.
- Address grievances related to administrative services promptly.
8. Reporting & Documentation

Prepare monthly MIS reports on contract labour, compliance, costs, and incidents.

Qualifications

Graduate/Postgraduate in Administration/HR/Industrial Relations or related field.

1 to 3 years of experience in plant administration and contract labour management.

Strong knowledge of labour laws, factory rules, and statutory compliance.

Proficiency in MS Office, ERP systems, and biometric attendance software.
