Job Purpose:
To ensure smooth coordination of material dispatch, documentation, billing, and operational follow-ups between plant, logistics, QC, and customers to support timely order execution.
Key Responsibilities:
1. Billing & Documentation Management
- Prepare and maintain billing documents, invoices, challans, GRNs, and other dispatch-related records.
- Ensure accuracy of commercial documentation and timely processing.
- Maintain records of transactions, dispatches, and supporting documents.
2. Dispatch & Order Coordination
- Coordinate end-to-end execution of confirmed orders until successful delivery.
- Track dispatch schedules and ensure timely movement of materials from the plant.
- Coordinate with logistics teams for vehicle placement and dispatch planning.
3. Vehicle & Logistics Follow-up
- Monitor vehicle availability and follow up with transporters for timely reporting at the plant.
- Ensure dispatch timelines are met to avoid delays in delivery commitments.
- Coordinate with internal teams regarding loading schedules and dispatch readiness.
4. Quality & Material Status Coordination
- Track material availability and coordinate with the QC team for material inspection and clearance.
- Follow up on QC status to ensure timely dispatch of approved materials.
- Support smooth coordination between production, QC, and dispatch functions.
5. Customer & Internal Coordination
- Provide updates on dispatch status, delivery schedules, and documentation to stakeholders.
- Coordinate with customers and internal teams for order execution and issue resolution.
- Address operational queries related to dispatches and documentation.
6. Reporting & MIS
- Prepare daily, weekly, and monthly reports related to dispatches, billing, pending orders, and operational status.
- Maintain MIS records for management review.
Qualifications & Experience:
- Education: Bachelor’s degree in Commerce, Business Administration, Operations, Supply Chain, or related field.
- Experience: 2–4 years of experience in plant operations, dispatch coordination, commercial activities, logistics, or manufacturing setup.
- Preferred Experience: Exposure to recycling, metals, manufacturing, warehouse, or industrial operations.
