About Bella Via

Bella Via Dance Studio has been developing dancers and building character in the North Shore community since 2011. We believe in growing children from the inside out, and our programs (Academy, Company, Ensemble, Troupe, and Darby’s Dancers) are built on a foundation of excellence, respect, inclusion, and teamwork. We're a close-knit, family-oriented studio where the people behind the scenes are just as important as the ones on stage, and we're looking for an Office Manager who wants to help lead that behind-the-scenes team.

The Role

The Office Manager is the hub of Bella Via: the person who connects families, leadership, and our Hospitality team so that every parent feels genuinely cared for and every studio leader can focus on the bigger picture instead of chasing down reminders. You'll own the parent experience from first inquiry through enrollment and beyond, lead and coach our front-desk Hospitality staff, and keep the daily operations of the studio running smoothly.

This is a hybrid role with consistent in-studio leadership presence, including 1 to 2 scheduled on-site overlaps each week with the Hospitality team, plus attendance at studio events and high-performance weeks. As Bella Via continues to grow, there's real potential for this role to grow with it for the right person.

Role Outcomes & Ownership

  • Parent Experience & Pipeline: Own parent communication across email, phone, and text, ensuring every interaction reflects 5-star warmth. Manage the full inquiry-to-enrollment pipeline so zero prospective families slip through the cracks.
  • Team Leadership & Coaching: Hire, train, and coach the front-desk Hospitality team. Run shadow shifts, quarterly refreshers, and weekly service audits to build a high-performing team.
  • Operational & Facility Excellence: Maintain overall studio efficiency, technology (WiFi, front-desk hardware, sound systems, security), facilities, vendor relationships, budgeting and purchasing, and data hygiene within our Teck Stack.
  • Event & Rhythm Execution: Own backward-planning and execution for all studio events (using 4-week timelines) and maintain smooth daily, weekly, and monthly studio operating rhythms.

Key Performance Indicators (KPIs)

  • Response Time SLA: Less than 24-hour turnaround on all parent inquiries.
  • Pipeline Conversion: 90% trial-to-enrollment conversion rate.
  • Retention Metrics: Maintain and update the weekly retention dashboard (tracking churn and re-enrollment trends).
  • Service Audits: 100% completion rate on weekly 5-star Hospitality team audits.

What We're Looking For

  • Experience in office management, operations, or customer-facing leadership, ideally in a service, hospitality, education, or youth activity setting
  • A genuine hospitality mindset: someone who sees every parent interaction as a chance to build trust and loyalty
  • Strong organizational skills and comfort owning deadlines, SLAs, and metrics without needing to be micromanaged
  • Experience training, coaching, or managing a small team, or clear readiness to grow into that responsibility
  • Comfort with CRM and project management tools (we use Studio Director and Asana); quick to learn new systems
  • Sound judgment around budgets, vendor relationships, and day-to-day decision-making within defined guardrails
  • A collaborative, solutions-oriented approach and alignment with our studio values of excellence, respect, inclusion, and teamwork
  • Dance or performing arts industry experience is a plus, but not required. What matters most is operational skill and a heart for families and kids.
