**Position Summary**
The Executive Administrative Assistant provides high\-level administrative and organizational support to the Chief Executive Officer and executive team, ensuring the efficient day\-to\-day operation of the office. This role supports multiple companies within the organization and requires exceptional organizational skills, professionalism, discretion, and the ability to manage competing priorities in a fast\-paced, multi\-company business environment. The Executive Administrative Assistant serves as a key point of contact for internal staff, clients, vendors, and external stakeholders across the organization's affiliated companies.
**Key Responsibilities**
* Provide confidential administrative support to the Chief Executive Officer and senior management team. * Provide administrative support across multiple companies, ensuring consistency, efficiency, and effective communication between business units. * Manage executive calendars, schedule meetings, appointments, and travel arrangements. * Prepare, edit, and proofread correspondence, reports, presentations, contracts, and other business documents. * Coordinate meetings by preparing agendas, distributing materials, recording minutes, and following up on action items. * Screen phone calls, emails, and visitors, responding to inquiries or directing them appropriately. * Maintain confidential business records, files, and corporate documents for multiple entities. * Assist with preparing reports, budgets, expense claims, and financial documentation. * Coordinate office operations, including ordering supplies, managing service providers, and maintaining office equipment. * Support payroll, human resources, accounting, and other administrative functions by preparing and organizing documentation as required. * Monitor deadlines and ensure timely completion of projects and executive commitments across multiple companies. * Organize company meetings, events, training sessions, and corporate functions. * Build and maintain positive working relationships with clients, suppliers, business partners, and stakeholders. * Recommend and implement administrative process improvements to increase efficiency across the organization. * Perform other administrative and executive support duties as assigned.
**Qualifications**
* Diploma or certificate in Business Administration, Office Administration, or a related field, or an equivalent combination of education and experience. * Minimum of 3–5 years of experience providing executive\-level administrative support. * Experience supporting multiple executives, departments, or companies is considered a strong asset. * Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and business communication platforms. * Excellent written and verbal communication skills. * Strong organizational, time management, and multitasking abilities. * Demonstrated ability to prioritize competing demands across multiple business entities. * Ability to handle confidential information with discretion and professionalism. * High level of accuracy and attention to detail. * Ability to work independently while supporting a collaborative team environment.
**Preferred Qualifications**
* Experience supporting senior leadership in a corporate or private\-sector environment. * Experience working in a multi\-company or multi\-entity organization is considered an asset. * Experience with accounting software and payroll systems is an asset. * Familiarity with bookkeeping, accounts payable/receivable, and office financial processes is considered an asset.
