**SUMMARY PURPOSE:**
Under the general direction of the Manager of Asset Management and Scheduling, this role serves as a key communicator and coordinator for all activities related to job planning, job package preparation, and scheduling of short\- and long\-term maintenance activities. The position administers and utilizes the CMMS (Computerized Maintenance Management System) to track assets, generate preventive maintenance (PM) schedules, and optimize resource use. Success relies heavily on clear, effective communication across teams, rapid adaptation to tools and processes, proactive problem\-solving, meticulous attention to detail, and dedicated customer service to internal stakeholders (such as Fleet Services personnel and other departments).
**EDUCATION:**
Business Administration, Engineering, Logistics or related field; or an equivalent combination of training and related experience
**EXPERIENCE \& MINIMUM REQUIREMENTS:**
* Excellent verbal and written communication skills, with the ability to clearly explain complex information, provide instructions, collaborate with diverse teams (including technicians, managers, vendors, and non\-technical staff), and serve as a reliable liaison to ensure alignment and understanding. * Proven customer service orientation and interpersonal skills to build positive relationships, address concerns promptly, and deliver high\-quality support to internal “customers” such as Fleet operations teams. * Strong problem\-solving abilities, with a proactive mindset to identify issues, troubleshoot challenges (technical or process\-related), and implement effective solutions under pressure. * Exceptional attention to detail and dedication to accuracy in documentation, data entry, reporting, and follow\-through on all tasks. * High adaptability and quick learning ability to rapidly master new software packages, systems, or processes; comfortable learning and supporting multiple tools while training and guiding others in their effective use. * Solid organizational skills, with the capacity to manage multiple priorities, work independently or collaboratively, and maintain focus amid changing demands and tight deadlines. * General understanding of maintenance planning concepts (facilities/equipment maintenance and scheduling best practices is a plus but not required; willingness to learn is essential). * Proficiency with personal computers and basic Microsoft Office tools (additional software expertise can be developed on the job). * Ability to handle confidential and sensitive information with discretion, integrity, and professionalism. * Valid driver’s license and compliance with the Company’s Driving Program policy. **ESSENTIAL JOB FUNCTIONS:**
Communicate effectively with cross\-functional teams to analyze Fleet service data, identify trends/patterns, and recommend improvements while clearly presenting findings and rationale.
2\. Oversee the administration and troubleshooting of software packages, serving as the subject matter expert and principal trainer in their application.
3\. Ability to navigate daily interruptions through various forms of communication while updating scheduled and maintaining customer service and shifting priorities.
4\. Develop and maintain performance metrics and reporting tools, ensuring all communications and reports are clear, accurate, and actionable for stakeholders.
5\. Collaborate closely with departments and personnel to uncover cost\-saving opportunities, using strong interpersonal skills to align priorities and implement changes.
6\. Develop and roll out optimization strategies, communicating benefits and requirements to ensure smooth adoption and buy\-in.
7\. Analyze data to spot reliability issues and downtime risks, proactively troubleshooting and communicating solutions to enhance performance.
8\. Create, coordinate, and maintain detailed maintenance/repair schedules to include work packages, clearly communicate plans, priorities, and updates to Fleet personnel and other departments.
9\. Actively participate in field and site visits to verify physical location of various pieces of equipment and cataloging inventory. Assist with equipment and parts inventory and ordering as well as maintenance of the parts room.
10\. Work directly with Fleet Services teams to prioritize repairs based on urgency/importance, using excellent customer service to manage expectations and resolve conflicts.
11\. Develop, implement, and update preventive/predictive maintenance programs and schedules, training users as needed and communicating program value to reduce downtime.
12\. Prepare short\- and long\-range job packages using the CMMS, ensuring all documentation is detailed, accurate, and clearly communicated.
13\. Maintain up\-to\-date work order documentation and equipment histories in departmental software, with meticulous attention to detail and proactive troubleshooting of any discrepancies.
14\. Prepare clear, professional maintenance\-related technical reports using software tools, tailoring communications to the audience.
15\. Assist with any data mining and updates to specific software system or reports required.
16\. Enforce compliance with Company policies, procedures, code of ethics, and applicable laws/regulations (safety, environmental, etc.), communicating standards effectively.
17\. Perform other related tasks within the scope of these duties, demonstrating dedication, adaptability, and a commitment to continuous improvement.
