Job Description – Project Administrator (Delivery)Project Administrator – Delivery Team

Electron Green | London (hybrid, c. 4 days/week in office) | £33,000-37,000 per year | Full-time, permanent | Reporting to Delivery Director

About Electron Green

Electron Green develops and delivers commercial rooftop solar, battery storage (BESS) and energy infrastructure projects for businesses across the UK, Germany and Italy. We support clients from early feasibility through to installation and long-term energy partnerships, delivering projects through a trusted network of specialist installation partners.

As our project pipeline grows, we're looking for an organised and proactive Project Administrator to join our Delivery team and keep our projects moving smoothly from survey to handover.

The role

You'll be the administrative backbone of our project delivery. You'll make sure every project has the right information, paperwork, orders and approvals in place at each stage. You'll work closely with our Delivery and Design teams, Finance, our suppliers, our sub-contracted installer network and, during construction, our clients.

This is a varied, hands-on role. It suits someone who enjoys keeping many moving parts in order and takes pride in getting the detail right.

Key responsibilities - Pre-construction

  • Coordinate and book site surveys (structural, electrical, roof condition and others as required), and track them through to completion.
  • Record survey results accurately on our systems and pass them to the design team so designs are revised.
  • Schedule site kick-off meetings with installers, clients and internal stakeholders; prepare and circulate agendas, actions and minutes.
  • Issue project documentation to installers (designs, method statements, RAMS, site information, permits) and collect the required paperwork back before works begin.

Procurement and purchasing

  • Prepare and issue work orders to installers, making sure scope, programme, price and contractual terms match the approved project.
  • Run the day-to-day purchase requisition (PR) and purchase order (PO) process: raise PRs, obtain internal approvals and issue POs promptly and accurately.
  • Work with suppliers to confirm orders, lead times and delivery dates, and chase outstanding items so equipment arrives on site when needed.
  • Work with Delivery, Procurement and Finance colleagues to keep the PR/PO process running smoothly, resolving queries, mismatches and missing approvals.
  • Maintain accurate procurement records, including PO logs, supplier details and order status, so commitments can be matched to invoices.

Construction and handover

  • Act as an administrative point of contact for clients and installers during construction, including access arrangements, scheduling and document requests.
  • Track project progress against programme and contractual milestones, and flag delays or missing information early.
  • Make sure handover packs (O&M manuals, commissioning certificates, test results, warranties, as-built drawings) are complete, accurate and issued to clients on time.

Commercial and finance coordination

  • Work with Finance so that clients are invoiced promptly, in line with contract payment terms and milestones.
  • Check installer and supplier invoices against work orders, POs, contractual milestones and supporting evidence, and approve them for payment only once all requirements are met.
  • Keep accurate records of milestone completion, variations and supporting documentation.

General

  • Maintain project trackers, document registers and filing systems.
  • Help improve our delivery and procurement processes, templates and systems as the business scales.
  • Provide general administrative support to the Delivery team.

About you

Essential

  • An existing right to live and work in the UK.
  • Experience in a project administration, project coordination or similar role within a construction, building services, M&E or contracting business.
  • Good understanding of how construction projects run, from pre-construction to practical completion and handover.
  • Hands-on experience of purchasing processes: raising PRs and POs, issuing sub-contractor orders and matching invoices to orders.
  • Highly organised, able to manage several projects and deadlines at once.
  • Strong attention to detail, particularly with documentation, compliance, orders and invoicing.
  • Confident communicator who can work with installers, suppliers, clients and internal colleagues.
  • Proficient in Microsoft Office, especially Excel, and willing to take a proactive role in enhancing other systems such as CRM, procurement and document management tools.

Desirable

  • Experience in solar PV, battery storage, renewables or energy infrastructure.
  • Familiarity with sub-contractor management, construction contracts or payment milestone processes.
  • Knowledge of construction documentation such as RAMS, CDM requirements and O&M/handover packs.
  • Experience using a CRM (for example Zoho) or a purchasing/ERP system.

What we offer

  • Salary of £33,000-£37,000 per year.
  • Statutory Pension, 25 days paid holiday/yr
  • A key role in a growing renewable energy business, on projects that cut carbon emissions for commercial clients.
  • A collaborative, ambitious team where your ideas for improving how we work will be heard.
  • Hybrid working: London office based approximately 4 days per week, with 1 day remote.
