Role overview

We are looking for a reliable, organised, and proactive Team Personal Assistant to provide high level administrative support to two teams of consulting staff, including principals and directors. This role will also support other ad-hoc administrative and operational tasks as they arise.

Key responsibilities

  • Provide day-to-day administrative support to team members and business support teams.
  • Create and update accounts, projects, contact records and resourcing data, and submit timesheets.
  • Process monthly billing, invoicing and expense reimbursements accurately and by required deadlines.
  • Coordinate meetings, including room bookings, visitor management, materials, catering and refreshments.
  • Prepare documents, correspondence, presentations and reports for team members as required
  • Book and manage travel and accommodation for team members.
  • Organise internal team events and support external client events when needed.
  • Perform general office duties, including mail and delivery distribution, kitchen upkeep and ad-hoc facilities support.
  • Support business operations teams and committees with additional projects and tasks as needed.

Skills and experience

  • 1-4 years experience as a Team PA, Executive Assistant, or similar administrative role.
  • Professional, friendly, and confident with strong communication and relationship-building skills.
  • Comfortable providing proactive team support to a broad mix of personalities across all seniority levels (consultant, principals and directors).
  • Highly organised and detail-focused, with the ability to manage competing priorities.
  • Intermediate Microsoft Office skills, including Word, PowerPoint and Excel.
  • Exposure to Salesforce and Certinia advantageous.
  • Proactive, flexible and able to work independently and collaboratively
  • Able to maintain confidentiality and handle sensitive matters diplomatically and discreetly.

Working Arrangements

Hybrid work (3 days in the office) based in The Rocks, Sydney, NSW.

Full working rights in Australia required.
