Position Summary:

The Human Resources Manager provides practical HR advice and manages day-to-day people processes at Foothills Country Hospice Society (FCHS). Working closely with the Executive Director, Directors and Team Leads, the Manager supports fair, consistent people practices and a respectful, healthy workplace that reflects the hospice’s mission, vision and values.

This hands-on role combines employee relations and leader support with recruitment, HR administration, benefits, HRIS management, workplace assessments and centralized HR support for volunteers. The Manager exercises independent judgment within approved policies and delegated authority, maintains accurate records and efficient processes, and brings forward recommendations on complex or sensitive matters.

About Us:

Foothills Country Hospice Society (FCHS) provides compassionate end-of-life care to residents and their families in a warm, home-like setting. Our staff and volunteers are at the heart of everything we do, and we are looking for an HR professional who wants their work to make a real difference.

What you will do:

Employee relations and leader support

  • Serve as the first point of contact for employee HR questions; interpret policies and employment practices and coach leaders through performance conversations, conflict resolution and documentation.
  • Support performance improvement, attendance management, accommodation, leave and return-to-work processes with discretion and appropriate documentation.
  • Receive and assess workplace concerns, coordinate fact gathering and support investigations within assigned authority, involving external expertise when needed.
  • Support leaders with documentation and procedural steps for performance improvement, discipline and termination, and provide recommendations within delegated authority. Maintain open communication with the Executive Director or designate and escalate complex, sensitive or strategic matters; the Executive Director retains final authority for formal advice and significant employment decisions.

Recruitment and employee experience

  • Coordinate full-cycle recruitment with hiring leaders, including job descriptions, timely internal postings under FCHS policy, external postings and their removal at closing, applicant tracking and screening, and forwarding applications to the appropriate Director or Team Lead.
  • Schedule interviews, prepare materials and participate as needed to support consistent, fair selection; guide leaders through references, required screening and recruitment procedures.
  • Prepare employment documentation and coordinate offers within approved staffing and compensation parameters.
  • Coordinate onboarding, orientation and offboarding, prepare required materials and learning, and act as the first point of contact for IT access, equipment and support arrangements with the appropriate providers.
  • Coordinate the annual performance review cycle, support leaders with meaningful feedback and development plans, and track completion.
  • Conduct exit interviews, identify recurring themes and recommend practical retention and employee experience improvements.

HR administration and information systems

  • Maintain accurate, confidential employee records and HRIS data, including new hires, employment changes, leaves and departures; ensure information is complete, current and appropriately secured.
  • Maintain HR templates, documentation and administrative processes, identify opportunities to improve efficiency, and prepare reports to support people decisions.

Compensation benefits and payroll support

  • Administer employee benefit enrolments and status changes, answer employee questions, exchange required documentation and follow up with insurance carriers and benefit plan administrators.
  • Administer attendance, vacation and disability leave records and coordinate WCB reporting, working with leaders and providers as required.
  • Follow documented payroll verification procedures to cross-check schedules and employee changes, including new hires, terminations and leaves, for accuracy and timeliness before payroll is completed by the designated individual or third party.
  • Help employees understand FCHS policies relating to their roles, working conditions, safety, compensation and benefits.

Volunteer coordination and support

  • Serve as the central administrative hub for FCHS’s volunteer hub-and-spoke model, coordinating HR support for volunteer recruitment, screening, records and centralized onboarding.
  • Coordinate and support annual volunteer reviews with the departments that oversee volunteers; support consistent communication, integration and resourcing across those departments.
  • Conduct volunteer exit interviews or feedback processes and share relevant themes to strengthen the volunteer experience.

Workplace assessments and engagement

  • Coordinate and administer workplace assessment surveys twice yearly, using an appropriate tool and considering the Accreditation Canada tool where suitable.
  • Review assessment results and coordinate communication of findings across the organization while protecting confidentiality.
  • Ensure departments develop action plans in response to findings, assist Directors and Team Leads with practical actions, and monitor and report on progress.
  • Continually promote awareness of a healthy workplace and support HR projects, employee engagement events and other initiatives that strengthen workplace culture.

Policy communication and external relationships

  • Coordinate internal and external HR communications with accuracy, discretion and consistency with FCHS procedures; support leaders in applying policies fairly and recommend process or policy improvements.
  • Act as the administrative liaison with benefit providers, HRIS vendors and other HR service providers, including vendors supporting HR events.
  • Prepare and submit required employment-related documentation to external agencies, including WCB reports and Service Canada employment verification relating to leaves when requested.
  • Promote FCHS’s mission, vision, values and goals in interactions with residents, families, employees, volunteers and other stakeholders.
