JOB SUMMARY

The Business Document Specialist is responsible for the design, development, maintenance, and quality assurance of forms, applications, contracts, correspondence, and other business documents supporting GBU Life’s insurance and annuity operations. This position collaborates with business stakeholders to create user friendly, compliant, and efficient document solutions that enhance the customer experience, support regulatory requirements, and improve operational effectiveness.

DUTIES AND RESPONSIBILITIES

  • Design, develop, revise, and maintain applications, contracts, service forms, disclosures, correspondence, and other business documents.
  • Create and maintain fillable electronic forms using Adobe Acrobat and other approved document technologies.
  • Partner with Product Development, Compliance, Operations, Project Management, Sales, Service, and other business units to gather requirements and develop document solutions.
  • Ensure all documents comply with applicable regulatory requirements, company policies, branding standards, and style guidelines.
  • Apply document design best practices to improve readability, usability, accessibility, and customer experience.
  • Conduct detailed quality assurance reviews, proofreading, and testing of forms and communications.
  • Maintain document version control, change management records, and organized document repositories.
  • Manage multiple document projects simultaneously and communicate project status to stakeholders.
  • Identify opportunities to simplify forms, reduce processing errors, and improve document workflows.
  • Support document automation and digital transformation initiatives.
  • Performs other related duties as assigned by management.
  • Properly adheres to company risk management principles: o Adhering and supporting GBU’s Enterprise Risk Management Framework.
  • Understanding and complying with applicable laws, regulations, policies, and procedures; completing all required training; executing and monitoring controls effectively (as applicable); appropriately identifying, assessing, escalating and remediating risks, potential issues and control failures (as applicable); and reporting compliance or regulatory concerns to management.
  • Understanding and conducting oneself in accordance with the Employee Handbook and preserving GBU’s brand and reputation.

QUALIFICATIONS

  • Associate’s or Bachelor’s degree in Graphic Design, Communications, Technical Writing, Business Administration, Information Management, or related field preferred.
  • 2 to 4 years of experience in document design, forms management, business communications, technical documentation, insurance operations, or related field.
  • Advanced proficiency in Adobe Acrobat Pro and Adobe InDesign required.
  • Experience creating fillable PDF forms and electronic document solutions.
  • Strong proofreading, editing, and quality assurance skills.
  • Excellent verbal and written communication skills.
  • Strong organizational, analytical, and project management skills.
  • Proficiency with Microsoft Office applications.
