We are now looking for an Executive Assistant & Business Support Coordinator to become a key part of the team and provide dedicated support to our Founder and Managing Director.

The Opportunity

This is a varied and hands-on role that combines Executive Assistant responsibilities with customer, sales and business support.

A significant part of the role will involve proactively managing the Managing Director's diary and coordinating customer appointments across the UK. You'll be responsible for ensuring his time is used effectively, appointments are booked and organised efficiently, and opportunities are followed up.

Alongside supporting the Managing Director, you'll work closely with the Sales Support & Administration team to help ensure excellent customer service and smooth day-to-day business operations.

This role would suit someone who is highly organised, confident communicating with customers, enjoys taking ownership and thrives in a growing SME environment.

Key Responsibilities

Executive Assistant Support

  • Manage the Managing Director's diary and schedule.
  • Proactively organise and book customer appointments, demonstrations and site visits.
  • Plan travel routes and schedules to maximise efficiency.
  • Manage the Managing Director's inbox and prioritise communications.
  • Draft and respond to emails on behalf of the Managing Director where appropriate.
  • Arrange meetings, travel and accommodation.
  • Track actions and ensure follow-up activities are completed.
  • Act as a key point of contact for customers, suppliers and business contacts.

Sales & Business Support

  • Support customer communications and appointment scheduling.
  • Assist with lead follow-up activities.
  • Maintain accurate CRM records and customer information.
  • Support reporting and sales administration activities.
  • Work closely with the Sales Support & Administration team to assist with customer enquiries and quotations.
  • Ensure customer enquiries are handled professionally and efficiently.
  • Help ensure opportunities and actions don't fall through the cracks.

Essential Skills & Experience

  • Previous experience in an Executive Assistant, Personal Assistant, Office Manager, Business Support or Sales Administration role.
  • Experience managing diaries and coordinating appointments.
  • Experience booking customer meetings or supporting a field-based sales function.
  • Strong organisational and time-management skills.
  • Confident and professional telephone manner.
  • Excellent written and verbal communication skills.
  • Microsoft 365 proficiency (Outlook, Word, Excel and Teams).
  • Experience using CRM systems.
  • Ability to work independently and use initiative.
  • Strong attention to detail.

Desirable Experience

  • Supporting a Founder, Managing Director or business owner.
  • Sales administration or commercial support experience.
  • Experience using GoldVision, HubSpot, Odoo or similar CRM systems.
  • Experience within a trade, distribution, wholesale or manufacturing environment.
  • Experience supporting marketing activities or external suppliers.
  • Experience within an SME business.

What We're Looking For

We're looking for somebody who enjoys being organised, building relationships and making things happen.

You will be proactive, confident speaking with customers, comfortable managing multiple priorities and capable of becoming a trusted extension of the Managing Director.

Most importantly, you'll take ownership, follow things through and help keep the business running smoothly.

What We Offer

  • Salary of £28,000 - £32,000 depending on experience.
  • Inclusion in team performance bonus after 12 months.
