Under the supervision of the Placement Manager, the Placement Coordinator is responsible for creating positive outcomes for animals through adoptions and transport. This position provides exceptional customer service while guiding adopters through the adoption process, coordinating transport activities, maintaining accurate records, and working collaboratively with other departments to ensure animals are placed into appropriate homes or partner organizations as quickly and safely as possible. The Placement Coordinator supports HES' philosophy that responsible homes come in many forms and that positive outcomes should be pursued with urgency, compassion, and sound judgment.
Customer Service & Adoptions
- Provides exceptional, compassionate, and solution-oriented customer service to all visitors, adopters, and community members.
- Greets visitors promptly and creates a welcoming adoption experience.
- Reviews placement profiles and conducts adoption conversations using HES policies and placement philosophy.
- Educates adopters on animal behavior, medical needs, and post-adoption resources.
- Works to remove unnecessary barriers that get animals home quickly while ensuring safe and appropriate placements.
- Completes adoption paperwork accurately and efficiently.
- Assists with adoption promotions, special events, and off-site adoption opportunities.
Animal Placement
- Prioritizes moving animals into positive outcomes through adoption and transport.
- Coordinates with Animal Care, Medical, Behavior, and Foster teams regarding animal availability, ensuring that the animal is placed with the potential adopter as quickly as possible.
- Maintains current knowledge of adoptable animals to make appropriate placement recommendations.
- Assists with identifying animals that may benefit from transport opportunities.
- Assists with transport preparation including documentation, scheduling, and communication with partner organizations.
- Ensures animal records remain accurate and complete throughout the placement process.
Customer Communication
- Answers phones, emails, and front desk inquiries promptly and professionally.
- Resolves routine customer concerns and questions
- Maintains timely communication with adopters and rescue partners.
Administrative Responsibilities
- Maintains accurate ShelterLuv records.
- Processes payments and balances daily cash reports.
- Maintains adoption supplies, forms, educational materials, and front desk inventory.
- Maintains clean, organized, and welcoming public areas.
- Adheres to disease prevention and workplace safety protocols.
- Performs other duties as assigned
Knowledge, Skills & Abilities

Required Qualifications
- High school diploma or GED required.
- 1-3 years of Customer service experience preferred
- Animal welfare, veterinary, hospitality, retail, or nonprofit experience preferred.
- Ability to pass a background check.
- Valid Driver's Licenses and insurable driving record
- Authorized to work in the United States
Work Environment
Work is carried out in an animal shelter and may involve exposure to animals with varied health and behavior conditions, animal waste, cleaning chemicals, allergens, zoonotic disease risks, and moderate to high noise levels. The role requires regular standing, walking, bending, reaching, lifting, and hands-on animal care. Work may occur indoors and outdoors in varying weather conditions and may involve emotionally challenging situations.

Sunday: 9:00am - 4:00pm
Tuesday: 9:00am - 5:00pm
Wednesday: 12:00pm - 5:00pm
Saturday: 9:00am - 5pm
