Project Manager

Innovative Direct Marketing

About the position

The Project Manager owns the execution of client website and digital marketing projects from kickoff through completion. This position turns approved work into a plan, assigns responsibilities, manages deadlines, and holds outside vendors accountable for delivery. The Project Manager is responsible for knowing where each project stands, resolving obstacles, and verifying that the finished work meets the client’s requirements.

Reporting to the General Manager, this role manages daily project priorities and makes routine decisions within approved scope and procedures. Changes affecting pricing, budgets, client commitments, or project scope go to the General Manager with a clear recommendation. The goal is reliable delivery: accurate work, timely communication, and projects that reach completion. This is an individual contributor position with responsibility for project delivery and hands-on work, rather than employee supervision.

Responsibilities

Project ownership and delivery

  • Build and maintain project plans in Asana with clear deliverables, owners, deadlines, dependencies, and approval steps.
  • Translate client requests into complete instructions for designers, developers, and vendors, resolving missing information before work begins.
  • Set daily priorities, track progress, and address missed deadlines or incomplete work. Escalate risks early with a recommended solution.
  • Own quality control and project closeout. Verify work against the approved scope, require corrections, and confirm completion before closing the task.

Websites hosting and domains

  • Manage client website hosting and domains, including account records, access, renewals, and transfers. Coordinate DNS and SSL work with vendors.
  • Perform and manage WordPress core, plugin, and theme updates. Confirm backups before changes, test site functionality afterward, and resolve update issues.
  • Own client website changes, including routine hero image changeouts, and manage the development vendor through completion. Provide approved images and clear instructions, set deadlines, follow up, and verify the live changes.
  • Manage website launches and technical issues with developers and hosting support. Verify mobile display, links, forms, redirects, and tracking, and confirm issues are resolved.

Social media and vendor management

  • Hold the social media vendor accountable for complete content calendars, accurate captions and graphics, revisions, and delivery deadlines.
  • Review content for accuracy, brand fit, and client instructions before it goes out for proof. Return incomplete or incorrect work for revision.
  • Manage proofs, revisions, and approvals, and verify that approved content is scheduled for the correct accounts and dates. Personally update Facebook cover photos on client pages as requested, using approved images and checking the display.

Blogs and publishing

  • Own client blog schedules and manage the writing vendor. Assign topics and requirements, set deadlines, and review drafts for accuracy and client fit.
  • Send blog proofs to clients, follow up for approvals, and manage revisions until the final copy is approved.
  • Send approved blogs and publishing instructions to the developer. Track loading deadlines, check the published pages, and keep each client’s publishing schedule current.

Email marketing

  • Build client email blasts directly in Mailchimp, including email layouts, copy, images, subject lines, preview text, and links.
  • Select the correct audience or segment, send test emails, and check desktop and mobile display before scheduling or sending.
  • Schedule and send client campaigns, maintain client audiences and unsubscribe preferences, and review results for client reporting.

SEO and paid advertising

  • Manage delivery of contracted SEO and paid advertising services. Track vendor commitments, review completed work, and address missing or overdue deliverables.
  • Translate SEO recommendations into actionable website tasks and verify implementation with developers and vendors.
  • Monitor campaign results, leads, tracking, and spending against approved budgets. Investigate concerns and recommend changes to the General Manager.
  • Verify that analytics, call tracking, pixels, and conversion tracking are functioning with support from technical specialists.

Reporting and communication

  • Deliver accurate client reports on schedule. Check the underlying data, explain results clearly, and identify concerns and recommended next steps.
  • Serve as the day-to-day contact for assigned project work. Keep clients, vendors, and the internal team informed of deadlines, progress, and decisions needed.
  • Maintain usable client records, checklists, and procedures. Correct recurring workflow problems and reduce avoidable delays and rework.

Required qualifications

  • Experience managing website, digital marketing, or other client projects through completion.
  • Hands-on experience maintaining WordPress websites, including core, plugin, and theme updates.
  • Familiarity with website hosting, domains, renewals, and when to involve support.
  • An understanding of SEO, paid advertising, social media workflows, and performance reporting.
  • Strong writing, proofreading, and communication skills.
  • Sound judgment when setting priorities, resolving problems, and deciding when an issue needs escalation.
  • A record of managing multiple deadlines, holding others accountable, and verifying the quality of completed work.
  • Hands-on Mailchimp experience building, testing, scheduling, and sending email campaigns. Must be able to produce client email blasts independently.
  • Practical experience with Asana or a comparable project management platform, Meta Business Suite, Canva, and Microsoft 365.
  • Working experience using Google Ads, GA4, Google Search Console, Looker Studio, and CallRail to review performance, prepare reports, and identify tracking issues.
