Kelleher Group Maintenance Ltd

About the Company

Kelleher Group Maintenance Ltd is an expanding Mechanical & Electrical, Gas and Specialist Works Contractor, providing a tailored approach to the planning and delivery of works for our clients.

We are seeking an organised, commercially aware and proactive Purchasing Manager to take responsibility for purchasing, supplier relationships, stock control and the coordination of materials, parts and equipment across our Building and Mechanical & Electrical divisions.

Role Overview

The Purchasing Manager will ensure that engineers and operational teams have the correct materials, equipment and plant available to complete planned and reactive works efficiently and within budget.

You will oversee the purchasing process from identifying requirements and obtaining quotations through to placing orders, coordinating deliveries and resolving discrepancies. You will negotiate competitive pricing, monitor supplier performance and maintain appropriate stock levels, helping to control costs and reduce waste.

This is a hands-on management role that combines purchasing responsibilities with the day-to-day organisation of our stores and warehouse. A 7am start is required to meet engineers and ensure materials are prepared and loaded onto their vehicles for the working day.

Key Responsibilities

Purchasing and Cost Control

  • Manage purchasing activities across the Building and Mechanical & Electrical divisions.
  • Work with managers, engineers and the wider works team to identify material, equipment and plant requirements.
  • Obtain and compare supplier quotations, considering price, quality, availability and delivery times.
  • Negotiate pricing, discounts and payment terms to achieve value for money.
  • Raise and manage purchase orders, ensuring purchases are authorised in line with company procedures and allocated to the correct jobs.
  • Monitor purchasing expenditure against agreed budgets and highlight cost pressures or opportunities for savings.
  • Maintain accurate purchasing records within the company’s job management system.
  • Liaise with Finance to resolve invoice discrepancies and track outstanding supplier credits.

Supplier Management

  • Develop and maintain effective relationships with suppliers, merchants and plant hire providers.
  • Review supplier performance, including pricing, product quality, delivery reliability and responsiveness.
  • Identify alternative suppliers to improve availability and reduce delays.
  • Manage supplier account queries in conjunction with Finance.
  • Resolve issues relating to incorrect, damaged or delayed materials.
  • Coordinate returns, refunds and credit notes promptly to support cash flow.

Stock and Warehouse Management

  • Oversee the organisation and day-to-day operation of the company’s stores and warehouse areas.
  • Establish and maintain appropriate stock levels for commonly used materials and parts.
  • Carry out regular stock checks, investigate discrepancies and maintain accurate inventory records.
  • Monitor stock usage and identify slow-moving, surplus or obsolete items.
  • Arrange the return, transfer or authorised resale of surplus stock where appropriate.
  • Ensure deliveries are checked, recorded and stored correctly.
  • Maintain clean, organised and accessible storage areas.
  • Assist with receiving, moving and loading materials, following safe handling procedures and using appropriate equipment.

Operational Coordination

  • Ensure materials are prepared and available for engineers at the start of each working day.
  • Coordinate drivers, collections and deliveries according to job priority and geographic location.
  • Monitor outstanding jobs and material requirements through internal reports.
  • Communicate lead times, shortages and delivery updates to operational teams and, where required, clients and residents.
  • Respond promptly to enquiries for parts, materials and plant.
  • Liaise with all departments to resolve purchasing or stock issues affecting job completion.
  • Escalate material shortages, specification concerns and supplier delays, recommending practical solutions.

Reporting and Continuous Improvement

  • Produce weekly reports on purchasing expenditure, outstanding orders, stock levels, returns and supplier performance.
  • Provide Directors and managers with clear updates on purchasing priorities and operational risks.
  • Improve purchasing and stock control processes to increase efficiency and accuracy.
  • Maintain records required for internal audits and company accreditations.
  • Attend relevant operational, supplier and contract meetings, completing agreed follow-up actions.

Essential Skills and Experience

  • Previous experience in purchasing, procurement or materials management, with responsibility for coordinating purchasing activities.
  • Strong negotiation skills and commercial awareness.
  • Experience managing supplier relationships, purchase orders and stock control.
  • Strong Microsoft Excel skills, including formulas, data management and reporting, alongside proficiency in Word and Outlook.
  • Experience using a CRM, purchasing or job management system.
  • Excellent organisational skills and the ability to manage competing priorities in a busy, reactive environment.
  • Confident communication skills and a professional telephone manner.
  • Accuracy and attention to detail when processing orders, checking stock and maintaining records.
  • Ability to make effective decisions, resolve problems and escalate concerns appropriately.
  • Ability to work independently while collaborating with the wider team.
  • Willingness to undertake practical stores duties, including moving and loading materials safely.
  • Reliability and punctuality, including availability for the required 7am start.

Desirable Skills and Experience

  • Experience within construction, building maintenance, Mechanical & Electrical services or social housing.
  • Knowledge of building materials, engineering parts, tools and plant.
  • Experience introducing purchasing controls or improving inventory processes.
  • Previous responsibility for coordinating stores staff, drivers or deliveries.
  • A relevant purchasing, procurement or supply chain qualification.
