About the Role Matter Health is seeking a highly organized, professional, and proactive Executive Assistant to serve as a trusted partner to three Nashville-based executive leaders. This individual will primarily support our CEO and VP of Care Operations and also provide administrative and operational support to the Chief Human Resources Officer and the Nashville office as needed. The ideal candidate thrives in a dynamic environment, exercises exceptional judgment and discretion, anticipates needs before they arise, and is passionate about helping executives maximize their effectiveness. This position is based in Nashville and is primarily in-office, with limited hybrid flexibility based on business needs. Key Responsibilities Executive Support Manage complex executive calendars, scheduling priorities, meetings, appointments, and travel arrangements Coordinate domestic travel, including flights, hotels, transportation, and detailed itineraries Prepare meeting agendas, executive materials, presentations, and supporting documentation Track action items, deadlines, and follow-up activities to ensure timely completion Handle confidential correspondence and sensitive information with professionalism and discretion Serve as a key point of contact for internal and external stakeholders Support executive meetings, events, off-sites, and special projects Anticipate executive needs and proactively resolve issues before they arise Office Operations Support the day-to-day operations of the Nashville office Coordinate office logistics, supplies, vendor relationships, and meeting space needs Manage incoming and outgoing mail distribution Assist with company events, executive meetings, and special projects Partner with departments to ensure smooth communication and coordination Administrative Excellence Create, edit, and format PowerPoint presentations, reports, and executive documents Coordinate meeting logistics, conference calls, and technology needs Capture meeting notes and distribute action items as needed Manage expense reports and administrative documentation Maintain exceptional organization across multiple priorities and deadlines Qualifications Required Bachelor’s degree or equivalent experience Minimum of 7 years of Executive Assistant experience supporting senior executives or C-Suite leaders Demonstrated experience managing complex calendars and travel arrangements Exceptional organizational skills and attention to detail Strong verbal and written communication skills High level of professionalism, discretion, and confidentiality Ability to manage multiple priorities in a fast-paced environment Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) Proven ability to work independently and exercise sound judgment Preferred Experience supporting multiple executives simultaneously Trusted partner or right-hand support to executive leadership Experience coordinating executive meetings, events, and special projects Office management or workplace operations experience Experience working in high-growth or fast-paced organizations What Success Looks Like Executive presence and professionalism Exceptional judgment and decision-making abilities Strong relationship-building skills Proactive problem-solving and flexibility Ownership mentality Commitment to confidentiality and discretion Ability to anticipate needs and execute with minimal direction Why Matter Health At Matter Health, we believe that where someone lives should never determine the care they receive.
