Project Coordinator / Junior Estimator – Civil Construction

Location: Victoria, British Columbia Employment Type: Full-Time, Permanent Salary: $75,000 – $100,000 per year+ performance-based bonus opportunities

Position Overview

We are accepting applications for a motivated and organized Project Coordinator / Junior Estimator to join our growing civil construction team. The successful candidate will assist with the estimating, tender preparation, project planning, budgeting, scheduling, cost control, and coordination of civil construction projects.

This role requires a developing understanding of civil construction practices, including earthworks, underground utilities, roadworks, and site development. The ideal candidate will be capable of supporting multiple projects simultaneously while maintaining high standards of accuracy, organization, safety, and quality.

The successful applicant will work closely with project managers, estimators, clients, consultants, subcontractors, suppliers, and field personnel to help ensure projects are delivered on time and within budget. We are looking for a professional who demonstrates strong organizational skills, practical problem-solving abilities, attention to detail, and excellent interpersonal and communication skills, with the ability to build and maintain productive working relationships with project stakeholders.

Key responsibilities include assisting with estimates and tender submissions, coordinating project documentation and resources, monitoring project budgets and schedules, preparing change-order documentation, and supporting regular project reporting throughout all phases of construction.

Key Responsibilities

Estimating & Pre-Construction

  • Review tender documents, drawings, specifications, contracts, and project requirements.
  • Assist with preparing detailed quantity take-offs and cost estimates.
  • Obtain, organize, and evaluate subcontractor and supplier quotations.
  • Assist with developing competitive tender submissions and proposal packages.
  • Assist with preparing project budgets, schedules, and bid summaries.
  • Participate in client meetings, site visits, and pre-bid conferences.
  • Maintain estimating files, pricing information, and historical cost data.

Project Coordination

  • Support project managers with projects from award through completion.
  • Assist with developing and maintaining project schedules, budgets, forecasts, and work plans.
  • Coordinate project information between subcontractors, suppliers, field personnel, consultants, and clients.
  • Monitor project progress, quantities, productivity, and costs.
  • Prepare and track change orders, RFIs, submittals, purchase orders, and project documentation.
  • Maintain current drawings, specifications, schedules, meeting minutes, and project records.
  • Assist with material procurement, subcontractor coordination, and delivery scheduling.
  • Support the project team in ensuring work is completed safely, on schedule, within budget, and to company quality standards.
  • Assist with regular project reviews and reporting to project managers and senior management.
  • Support project closeout, deficiency tracking, record documentation, and turnover requirements.

Client & Stakeholder Relations

  • Build and maintain strong relationships with clients, consultants, municipalities, developers, subcontractors, suppliers, and industry partners.
  • Support project managers in communicating with project stakeholders throughout project delivery.
  • Attend project meetings, record meeting minutes, and follow up on assigned action items.

Financial Management

  • Prepare and monitor project cost reports and forecasts.
  • Review project progress billings and payment applications.

Qualifications Required

  • Experience in civil construction estimating and project management.
  • Background in earthworks, excavation, underground utilities, roadworks, infrastructure, or site development projects.
  • Proven experience assisting with project management from tender award through project closeout.
  • Understanding of construction drawings, specifications, contracts, and project scheduling.
  • Knowledge of construction means, methods, and productivity rates.
  • Strong communication and organizational skills.

Preferred

  • Diploma or Degree in Civil Engineering, Construction Management, or a related field.
