The historic Wagner Ballroom, Marshall’s original dance hall from 1870 to 1910, located downtown on the third floor of Eastend Arts Center, is seeking an Operations & Client Services Manager to oversee all Wagner Ballroom activities, serving as the primary coordinator and liaison for clients, staff, and internal teams. This role manages event staffing, client communication, contract and payment review, and overall workflow to ensure seamless, high‑quality experiences for every event.
Pay
Contractor position - Monthly fee to be negotiated commiserate with experience
Experience
- Minimum of 3 years of experience in event operations and management
- Strong experience in client-facing work
- Track record in managing around 10 hourly workers
- Hospitality industry experience preferred
- Must be located within 30 miles of Marshall with ability to be on-site as needed
- Strong background in email communications and use of Word and Excel
- Experience in using Google Docs and Spreadsheets
Key Responsibilities
- Coordinate & book all event staffing, including set‑up, day‑of support, and reset/breakdown.
- Serve as the main client liaison from inquiry through event completion, managing all details related to linens, décor, catering, timing, floor plans, and special requests.
- Conduct tours for prospective clients and communicate venue capabilities, policies, and pricing.
- Work with the Sales Team to manage contract execution, proof of insurance, payment collection, and compliance with venue requirements.
- Collaborate with the Sales Team to ensure accurate, timely transfer of client information and smooth onboarding.
- Work closely with the Marketing Manager to guide targeted promotional campaigns and maintain a strong public presence for the Ballroom. Examples might be taking photos or videos of specific events.
- Provide consistent communication, problem solving, and support for all client questions throughout the process.
- Oversee event managers (and any other over hire) and ensure all event‑day operations meet venue standards.
- Prepare regular reports for the Board of Directors on event activity, client trends, and operational needs.
- Maintain weekly communication with the Executive Director to ensure alignment on strategy, staffing, and client services.
- Option to assume direct sales responsibilities; base pay increases with commission structure.
