CORE PURPOSE OF THE ROLE: The Operations Manager’s primary responsibility is to create structure around Ruth’s creative direction—owning schedules, follow\-through, coordination, and operational details so Ruth can remain focused on design, client relationships, and the creative direction of the company.
This person should proactively determine what needs to happen next, who needs to do it, and when it needs to be completed—then ensure it happens.
PROJECT\-LEVEL RESPONSIBILITIES:
\- Project Schedule \+ Momentum: Own the schedule, pace, and forward momentum of each project from kickoff through installation. Establish deadlines, anticipate next steps, identify potential delays, and keep all parties aligned with the project timeline.
\- Prepare and send meeting recap emails documenting key decisions, action items, responsibilities, and upcoming deadlines. Help ensure clients understand what is needed from them to keep projects moving.
\- Selections Management \+ Tracking: Maintain accurate, up\-to\-date tracking of all project selections, approvals, outstanding decisions, and specification status. Proactively identify missing information or decisions that could impact the schedule.
\- Contractor \+ Trade Coordination: Serve as a primary coordination point with contractors, trades, workrooms, installers, and other project partners. Communicate design\-team information, track outstanding questions, and ensure required decisions and information are delivered on schedule.
\- Procurement Oversight: Manage and coordinate the third\-party procurement team. Ensure approved selections transition smoothly into quoting, ordering, tracking, receiving, and installation.
\- Install: Own installation scheduling and logistics, coordinating the client, procurement team, warehouse, delivery teams, installers, vendors, and trades to ensure installations are organized and efficiently executed.
COMPANY LEVEL RESPONSIBILITIES:
\- Systems \+ Workflows: Establish, document, refine, and uphold company systems and workflows. Identify operational inefficiencies and implement processes that improve organization, accountability, and consistency across projects.
\- Studio Operations: Maintain a highly organized, professional, and presentation\-ready studio environment. Establish systems for samples, materials, project resources, incoming deliveries, and general studio organization.
\- Serve as the primary liaison to contract employees\- i.e. bookkeeper and outsourced procurment agents. Act as the first point of contact and filter for requests, opportunities, scheduling, deliverables, and follow\-up—ensuring Ruth is brought in when her input or decision\-making is genuinely required.
\- Assist with the development and ongoing management of the Ruth Keenan Collection, including coordination with vendors and makers, product development tracking, samples, timelines, documentation, and other operational needs.
Pay: $55,000\.00 \- $70,000\.00 per year
