Woodhouse Environmental Service is a growing HVAC, plumbing, heating and renewable energy company based in Southampton. We specialise in air conditioning, plumbing and heating, air source and ground source heat pumps, solar PV, underfloor heating and renewable energy systems across domestic and commercial projects.

Due to continued growth, we are looking for an organised, proactive and confident Operations & Project Administrator to join our team and play an important role in the day-to-day coordination of our engineers, customers and projects.

The Role -

This is a varied and fast-paced role suited to someone who enjoys being organised, solving problems and helping keep a busy company running efficiently.

Working closely with the company directors, engineers, customers and suppliers, you will help coordinate the daily operations of the business and ensure that installations, servicing and maintenance works are properly scheduled and organised.

Your responsibilities will include:

  • Managing incoming telephone calls and emails
  • Booking and scheduling engineers
  • Managing engineer diaries and workloads
  • Coordinating installation, servicing and maintenance appointments
  • Communicating with customers throughout their projects
  • Providing customers with updates regarding appointments and ongoing works
  • Creating and sending quotations and invoices
  • Following up outstanding quotations and customer enquiries
  • Ordering materials and liaising with suppliers
  • Coordinating material deliveries for upcoming projects
  • Ensuring engineers have the correct information and documentation for each job
  • Maintaining accurate customer, project and job records
  • Assisting with installation and project documentation
  • Supporting the preparation and management of compliance paperwork
  • Liaising with subcontractors and other trades where required
  • Assisting the directors with the planning of upcoming projects
  • Helping to identify and resolve scheduling or operational issues
  • Providing general administrative and operational support across the business

About You

We are looking for someone who is:

  • Highly organised and able to manage multiple priorities
  • Confident working in a busy and fast-paced environment
  • Proactive and comfortable using their own initiative
  • An excellent communicator by telephone and email
  • Professional and confident when dealing with customers
  • Able to coordinate multiple engineers and projects
  • Calm and organised when plans or schedules change
  • Accurate with excellent attention to detail
  • Confident using computers and Microsoft Office
  • Comfortable learning new software and systems
  • Reliable, motivated and willing to take responsibility for their role

Previous experience in an operations, scheduling, coordination or administrative role would be beneficial. Experience within HVAC, construction, plumbing, heating, renewable energy or another trade-based business would also be advantageous but is not essential.
