Position: Part-Time Pet Afterlife Care Family Support Coordinator
Location: On site, no work from home
Schedule: 15-30 hours per week, mainly afternoons and one full day
Starting Rate: $16-$18/hr
Reports To: Owner / Operations Manager
Animal Handling: 90% administrative and direct client service, 10% handling deceased pets.

Job Summary
The Pet Afterlife Care Family Support Coordinator is a key member of the Cholla Afterlife Care Team and plays a central role in supporting families as they move through the aftercare process. This position involves some deceased animal handling, but primarily manages all administrative, digital, and client-communication responsibilities that ensure every family receives a compassionate, smooth, and dignified experience when entrusting us with their pet’s afterlife care. This position also supports the Cholla Afterlife Care Team by managing pickup and delivery logistics, and client scheduling for every aspect of the business.
This role is public facing and requires immaculate hygiene, empathy, accuracy, initiative, professional non-judgemental communication, and the ability to create calm and confidence for families during emotionally heavy moments.
Core ResponsibilitiesClient Communication & Support
- Answer incoming calls, texts, and email to provide clear, compassionate information to potential clients.
- Schedule intake, sprinkling, home and vet pickup, visitation, and viewing appointments.
- Send service invoices to families prior to their pet’s intake.
- Greet families warmly upon arrival, and help them to bring their pets inside.
- Go over offerings with families and ensure we know everything they want for their pets.
- Prepare accurate paperwork reflecting exactly what the clients want for their pets.
- Communicate with clients on behalf of Pet Water Cremation Technicians.
- Text clients when their pet’s remains are ready for pickup.
- Send review requests (Google, Yelp, Facebook) after families receive their pet’s remains, and promptly respond to reviews.
- Schedule Sprinklings, viewings, home pickups, and related services.
- Monitor online shop and engraving requests, and fulfill orders.
Halcyon Database & Documentation
- Create and manage all required paperwork for incoming pets inside our database and Google sheets.
- Build task lists and confirm accuracy of service details for each case.
- Update client records, service timelines, and status of pets in our database on a daily basis.
Sprinkling & Facility Preparation
- Prepare the Sprinkling Suite and reception area for family arrivals, ensuring a clean, peaceful, smell-free, comforting environment.
- Restock amenities, upkeep live plants, and maintain presentation standards for all family-facing spaces.
Digital Presence & Marketing Support
- Update website content as directed.
- Create and schedule social media posts.
- Create and order marketing materials, including rack cards, business cards, etc.
- Respond to online messages and inquiries (Facebook, Instagram, etc.).
Vendor, Inventory, & Supply Management
- Interface with vendors to ensure positive relationships and affordability of products.
- Find new vendors and set up accounts.
- Place and manage engraving orders for urns and keepsakes.
- Track supply levels and order materials as needed (urns, bags, labels, boxes, Sprinkling supplies, etc.), and place orders to ensure backup stock is maintained.
- Maintain organization of store room and develop SOPs to track inventory.
General Administrative Duties
- Maintain cleanliness and order in public facing areas.
- Support Pet Water Cremation Technicians and Transport Specialists with required documentation and logistics.
- Assist with all levels of administrative tasks as assigned.
Qualifications
- Strong empathy, emotional maturity, and excellent communication skills
- Comfort speaking with and comforting grieving pet families
- Perfectionist: Organized, detail-oriented, and able to follow structured processes
- Comfortable working inside software systems (CRM, invoicing in Quickbooks, website backend)
- Basic understanding of social media platforms
- Ability to maintain professionalism in emotionally sensitive situations
- Reliable, punctual, and able to work independently
- Confidence to propose new ways of doing things
- Comfort with receiving feedback to improve performance
Pay: $16.00 - $18.00 per hour
Expected hours: 15.0 – 25.0 per week
