We are a growing, technology-enabled temporary housing startup. We are building an AI-first organization that combines thoughtful, high-touch service with efficient and scalable operations. As we grow, we need stronger systems that help our team move quickly, work consistently, and prevent important details from falling through the cracks.
We are looking for a hands-on Process & AI Operations Manager who can both strengthen our operating systems and help ensure that daily operations run smoothly. You will oversee key operational activities, monitor performance, help establish priorities, and step in when complex or urgent situations require additional judgment. You will be responsible for ensuring that issues are resolved thoroughly, customers and partners receive appropriate support, and important commitments do not fall through the cracks.
You will also learn how work is currently performed, identify inefficiencies and risks, and personally build the workflows, SOPs, quality controls, automations, and reporting needed to improve the business. You will work closely with leadership and employees to implement these systems, measure their effectiveness, and refine them over time.
The right person is resourceful, calm under pressure, highly organized, intellectually curious, and comfortable creating structure in an evolving entrepreneurial environment. You should be equally comfortable reviewing operational performance, handling a sensitive escalation, mapping a complicated workflow, writing a clear SOP, configuring a CRM or project-management system, and using AI to improve speed, quality, and consistency.
Key Responsibilities
- Learn and document how our core operational processes currently work
- Identify bottlenecks, recurring errors, unnecessary steps, unclear ownership, and operational risks
- Design scalable workflows with clear responsibilities, decision points, handoffs, deadlines, controls, and escalation paths
- Create practical SOPs, checklists, templates, and training materials employees can easily use
- Define operational metrics, SLAs, dashboards, and reporting that make performance and problems visible
- Use AI to analyze processes, structure information, create documentation, review work, identify missing information, and reduce manual effort
- Develop reusable prompts, AI-assisted workflows, and internal tools for recurring operational tasks
- Oversee key day-to-day operations and help ensure work is completed accurately, consistently, and on time
- Serve as an escalation point for complex, sensitive, or urgent operational situations
- Communicate calmly and professionally with customers, partners, vendors, and employees when issues arise
- Help reinforce accountability and consistent execution across the team
Required Qualifications
- At least five years of professional experience, including three or more years in operations management, process improvement, implementation, program management, business operations, or customer operations
- Experience overseeing daily operations and holding employees or cross-functional contributors accountable for execution
- Demonstrated experience personally designing and implementing repeatable processes and scalable workflows
- Significant experience creating SOPs, checklists, controls, or other operational documentation—not simply maintaining existing materials
- Experience improving processes involving multiple teams, systems, stakeholders, or handoffs
- Strong project-management skills and a demonstrated ability to drive work through completion
- Practical proficiency with AI tools such as ChatGPT, Claude, Gemini, or similar platforms
- Experience using AI for operational work beyond basic writing and summarization, such as process analysis, structured data extraction, quality review, workflow design, knowledge management, or automation
- Ability to define meaningful operational metrics and use data to identify problems and measure improvement
- Excellent written and verbal communication skills
- Strong attention to detail, judgment, initiative, and follow-through
- Ability to work independently in an environment where every process has not yet been defined
