This fully remote position plays a critical role in coordinating communications, managing documentation, monitoring deadlines, and ensuring transaction requirements are addressed accurately and efficiently.

The successful candidate will serve as a key liaison between Original Equipment Manufacturer (OEM) representatives, acquisition teams, legal and finance professionals, licensing agencies, and dealership leadership to facilitate approvals and keep transactions progressing toward closing.

Reporting directly to the President of Fortwyn Advisory, the Project Coordinator must demonstrate strong organizational skills, professional communication, and the ability to manage multiple projects simultaneously.

Responsibilities

OEM Relations & Franchise Approvals

  • Serve as a point of contact with OEM representatives throughout dealership acquisitions and ownership changes.
  • Coordinate factory approval applications, required documentation, supplemental information requests, and submission timelines.
  • Review OEM franchise requirements early in each transaction to identify potential issues that could affect approvals or closing.
  • Monitor approval conditions, communicate decisions, and ensure outstanding requirements are addressed within established deadlines.
  • Develop and maintain professional relationships with OEM representatives while staying informed of relevant manufacturer policies, franchise requirements, and dealer-network program changes.

Project & Transaction Coordination

  • Coordinate with legal counsel, financial professionals, licensing agencies, dealership leadership, and acquisition teams to ensure application materials are accurate, complete, and submitted on time.
  • Track multiple concurrent projects, maintaining organized records of deadlines, outstanding documentation, approvals, and action items.
  • Provide timely project updates to the President and relevant stakeholders, identifying potential delays or obstacles requiring attention.
  • Maintain accurate and confidential project documentation, correspondence, and transaction records.

Licensing & Ownership Transitions

  • Coordinate with internal and external service providers to support business entity formation, regulatory filings, dealership licensing, and related administrative requirements.
  • Assist with post-approval ownership transitions, including required OEM account updates, dealership records, and operational changes.
  • Monitor outstanding licensing and transition requirements to support successful transaction completion.

Required Qualifications

  • Professional experience within the automotive dealership industry, including dealership operations, franchise administration, OEM relations, or related functions.
  • Proven experience in project coordination, transaction administration, executive support, or a related professional role.
  • Strong understanding of automotive dealership operations and manufacturer-dealer relationships.
  • Exceptional organizational skills with the ability to manage competing priorities and multiple deadlines.
  • Strong written and verbal communication skills, including the ability to interact professionally with senior executives and external stakeholders.
  • Excellent attention to detail and a commitment to accuracy in documentation and recordkeeping.
  • Demonstrated ability to independently manage follow-ups, track outstanding requirements, and maintain project momentum.
  • Ability to handle sensitive business and financial information with professionalism and confidentiality.

Preferred Qualifications

  • Direct experience with dealership acquisitions, franchise approvals, or dealership ownership transitions.
  • Familiarity with OEM franchise application processes, manufacturer requirements, and dealership licensing procedures.
  • Experience coordinating with legal, financial, regulatory, or corporate transaction teams.
  • Knowledge of mergers and acquisitions processes, corporate filings, or business entity formation.
