Based in Liverpool, this role will be to support the day‑to‑day running of the business, working closely with the Project Managers and engineers to ensure excellent customer service, efficient scheduling, accurate reporting, and smooth operational processes. Key Responsibilities:
As an Admin Assistant, you will play a critical role within our Utilities North team. Your responsibilities will include:
- Weekly input & processing of employee timesheets
- Weekly checks of employee timesheets ensuring accuracy for both Payroll & cost reporting
- Reporting of timesheet data to Business Unit Managers & Operations Managers
- Manage the absence module and resolve any discrepancies with the relevant colleagues
- Ensuring all absence paperwork is collated and recorded effectively
- Scanning and electronic filing of documents
- Manage the mileage records for fuel cards including an excel log and a journal entry onto the IMS
- Weekly input and processing of employees’ expenses ensuring compliance with company procedures & HMRC guidelines
- Archiving timesheet & expense documentation in line with QA procedures
- Processing of supplier invoices
- Customer and Supplier Account set up and review in line with our QA procedure
- Supplier statement reconciliation
- Overhead & stock Purchase Orders
- Booking out of stock items on unit 4 & stock audits
- Adhoc tasks as and when necessary, within the business
Your skills and experiences:
- Excellent IT Skills – Microsoft Office (Word, Excel, Outlook)
- A High degree of accuracy and attention to detail
- Strong organisation and time management skills
- Excellent problem solving skills
- Shows desire to promote a culture of Continuous Improvement
- A Team player with ability to communicate with all levels of personnel
- Ideally previous experience in an accounts / payroll role
