Job Overview
The People Coordinator plays a key role in supporting the day-to-day delivery of the People function and ensuring the effective administration of HR processes across the organisation.
The People Coordinator is responsible for coordinating a range of HR activities throughout the employee lifecycle, from recruitment and onboarding, through to contractual changes and employee support, whilst maintaining compliance with employment legislation, Social Care Wales (SCW) requirements, Care Inspectorate Wales (CIW) regulations and company policies.
The People Coordinator will act as a first point of contact for managers and employees. You will provide professional HR advice, coordinate HR administration, maintain accurate employee records, support employee wellbeing initiatives and contribute to creating a positive employee experience.
Key Responsibilities
Recruitment including Onboarding
- Coordinate the end-to-end recruitment process, including advertising vacancies externally, attending job fairs, screening applications, arranging interviews and liaising with recruiting managers.
- Prepare offer letters, contracts of employment and all new starter documentation. Complete pre-employment checks, including references, DBS checks, Right to Work checks, and Social Care Wales registration requirements.
- Create and maintain employee records within the HR system.
- Coordinate IT account setup and onboarding requirements.
- Prepare personnel files and ensure all compliance documentation is completed before employment commences.
- Coordinate the induction process and liaise with managers to ensure new starters have a positive first-day experience.
- Monitor onboarding progress and outstanding pre-employment actions.
Employee Lifecycle
- Coordinate contractual changes, promotions, salary amendments, transfers and changes to terms and conditions.
- Process employee leavers, including resignation acknowledgments, exit documentation and system updates.
- Maintain accurate employee records throughout the employee lifecycle.
- Ensure HR systems are updated promptly following employment changes.
Benefits and Employee Engagement
- Respond to employee queries relating to company benefits.
- Support the administration of company benefits, including React Recognition Reward and Simply Health.
- Contribute to employee engagement initiatives, including the quarterly newsletter and the Engage intranet platform.
- Work together with the Creative Engagement Coordinator in planning, organising and delivering employee engagement events throughout the year, including the Summer Party, Christmas Party, Feel Good Fiesta, recognition events and other wellbeing or team-building initiatives.
- Liaise with external benefit providers as required.
- Support wellbeing initiatives and employee recognition programmes.
Employee Relations
- Act as a first point of contact for managers and employees, providing advice and guidance on HR policies, procedures and employment legislation.
- Respond to HR queries professionally, escalating complex matters where appropriate. Support managers with absence management processes, including return-to-work meetings, welfare meetings and first-stage sickness review meetings.
- Attend investigations, disciplinary, grievance and capability meetings to take accurate minutes where required.
- Prepare HR correspondence and documentation relating to employee relation matters. Promote a positive, inclusive and supportive workplace culture. Training and Development Coordinate mandatory and developmental training programmes in line with the Annual Training and Development Programme.
- Monitor training completion and compliance across the organisation.
- Produce and distribute training certificates.
- Maintain accurate training records and training compliance reports.
HR Systems and Compliance
- Maintain accurate electronic and paper personnel records in accordance with GDPR, CIW regulations and company policies.
- Provide accurate weekly, monthly and quarterly reports for the Service Management Team and Board of Directors.
- Ensure DBS checks, Social Care Wales registrations and other compliance requirements remain current.
- Carry out regular audits of employee files and HR records.
- Support the continuous improvement of HR systems, processes and documentation.
Payroll Support
- Ensure payroll information relating to new starters, leavers, contractual changes, salary amendments and absence is communicated accurately and within payroll deadlines.
General Administrative Support
- Provide professional administrative support.
- Coordinate meetings, diaries, training sessions and People Team events.
- Communicate professionally with employees, managers and external stakeholders. Travel to services as required to support operational needs.

- Previous experience working within an HR / People Team.

- Understanding of the regulatory requirements within the social care sector, including CIW and Social Care Wales.
- Knowledge of employment law and HR best practice.
- CIPD Level 3 qualified.
- Experience of employee wellbeing initiatives.
