Role Overview:
You will be responsible for managing and ensuring statutory compliance, vendor & client payments, and payroll operations across all company entities in India, the UK, and Canada.
This includes coordinating with external chartered accountants, the company secretary, auditors, and banks while maintaining smooth cash flow, invoicing discipline, and statutory reporting.
The role combines finance operations, regulatory compliance, and inter-company coordination across global entities.
Core Responsibilities:
India:
Statutory, ROC Compliance & Tax Compliance:
- Support PF, professional tax filings, and ensure payroll compliance.
- Manage TDS deductions & payments, monthly and quarterly TDS returns (Form 24Q, 26Q), and annual issuance of Form 16/16A.
- Manage GST compliance—prepare and file GSTR-1, GSTR-3B, GSTR-9 & 9C.
- Handle foreign service payments and ensure Reverse Charge (RCM) GST and FEMA compliance, including APR and FLA returns.
- Coordinate with the company secretary to file the MSME return biannually.
- Track AGM, Board Meeting, and Resolutions. Maintain minutes and statutory registers.
- Prepare and coordinate filing of AOC-4, MGT-7, DIR-3 KYC and Board Report with the Company Secretary.
- Coordinate with CAs for Statutory Audit, Tax Audit (Form 3CA, 3CD, 3CEA & 3CEB), and assist in ITR-6 filing.
Audit & Tax Coordination:
- Liaise with statutory auditors for audits, confirmations, and financial reviews.
- Maintain reconciliations, schedules, and supporting documentation for tax audits.
Payroll:
- Manage monthly salary processing, reimbursements, and variable payouts.
- Calculate and remit PF, PT, and TDS on salaries.
- Maintain monthly payroll sheets (CTC breakup, tax, deductions).
- Coordinate with HR on new joiners/exits for compliance.
United Kingdom:
Statutory Compliance & Tax Filings:
- Manage VAT filings quarterly and ensure tax payment to HMRC.
- Ensure timely filing of P60, P11D, and Self-Assessment for directors.
- Manage Employer Insurance and Pension Declaration compliance.
- Coordinate with UK accountants and file Annual Accounts, Confirmation Statement, CT600.
- Coordinate with UK accountants for Corporation Tax payment.
Payroll:
- Track and remit PAYE & NIC deductions.
- Coordinate with accountant for monthly PAYE processing and HMRC submissions.
Governance:
- Maintain board resolutions, share register and statutory records.
- Coordinate filings with Companies House and HMRC.
Canada:
Statutory Compliance & Tax Filings:
- Manage GST/HST/PST/QST filings and ensure provincial tax payments.
- Ensure timely filing of T4/T4A employee returns.
- Coordinate with Canadian accountants for Corporate Tax Return and Corporate Annual Return filing.
- Monitor instalment payments for corporate tax (if required).
Payroll:
- Track and remit CPP, EI and Income Tax payroll deductions monthly.
- Coordinate with accountant for monthly Payroll processing.
Governance:
- Ensure annual resolutions and financial statement approvals are completed before annual filing.
- Coordinate filings with CRA and Companies Registry Services
Cross-Country Coordination:
- Maintain Books of Accounts, Director Registers, Board Resolutions and Share Register.
- Maintain a Global Compliance Calendar with all due dates, filings and responsible parties.
- Ensure data consistency between India–UK–Canada financials for consolidation.
- Coordinate with respective CAs, CS, and accounting firms in each region.
- Maintain a central compliance tracker sheet and ensure backup of all filings in cloud folders.
- Support inter-company transactions, billing, and cross-border payment compliance (Transfer Pricing).
Vendor & Client Operations:
- Prepare and send client invoices through Zoho and Quick books. Track and follow up on receivables.
- Reconcile client receipts with bank credits and maintain collection tracker.
- Process vendor payments via bank transfer and maintain ageing reports.
Skills & Competencies:
- Strong knowledge of accounting principles and statutory regulations.
- Proficiency in accounting software (Zoho Books/QuickBooks).
- Advanced Excel skills.
- Strong analytical, communication, and problem-solving abilities.
