You will work with internal teams and suppliers to source goods and services, manage orders and deliveries, and help ensure purchases meet business requirements, quality standards, and budget expectations.

This role calls for a hands-on purchasing professional who can coordinate priorities, maintain accurate records, and build effective supplier relationships in a fast-moving hospitality environment.

What You’ll Experience

  • Support purchasing across hospitality operations and business functions

What You’ll Be Doing

You will help manage the purchasing process from requirements and supplier quotations through approvals, purchase orders, delivery, and record-keeping.

Your responsibilities will include:

  • Coordinating purchasing requests from departments and confirming specifications, quantities, and required delivery dates
  • Obtaining and comparing supplier quotations to assess price, quality, availability, and terms
  • Negotiating prices, payment terms, lead times, warranties, and delivery arrangements within approved limits
  • Preparing and reviewing purchase orders and ensuring the required approvals are in place
  • Following up on orders and coordinating deliveries with suppliers and receiving teams
  • Resolving issues relating to late, incomplete, damaged, or incorrect deliveries
  • Maintaining accurate supplier details, quotations, purchase orders, invoices, and other purchasing records
  • Monitoring spend against budgets and approved purchasing requirements
  • Supporting supplier sourcing, evaluation, onboarding, and performance reviews
  • Reviewing market pricing and identifying suitable alternatives or opportunities for savings
  • Working with Finance to resolve invoice and purchase order discrepancies
  • Supporting inventory planning and monitoring stock availability in coordination with relevant teams
  • Preparing purchasing reports and updating stakeholders on order status, costs, and supplier issues
  • Supporting and guiding purchasing team members, helping to prioritise workload and maintain consistent processes
  • Identifying opportunities to improve purchasing controls, documentation, and efficiency

Could This Be You?

  • Have experience in purchasing or procurement, ideally within hospitality, food and beverage, retail, or a related industry
  • Have experience coordinating purchasing activities and supporting or supervising team members
  • Are confident requesting and comparing quotations and negotiating commercial terms
  • Can manage multiple requests, orders, and deadlines while maintaining attention to detail
  • Understand purchase orders, supplier invoices, delivery documentation, and budget tracking
  • Are comfortable using spreadsheets and purchasing or inventory systems
  • Communicate professionally with suppliers and internal stakeholders
  • Can work effectively in both English and Bahasa Indonesia
  • Are organised, dependable, solutions-focused, and able to follow through on outstanding actions
  • Understand the importance of ethical purchasing, accurate documentation, and adherence to company procedures

Experience sourcing food and beverage products, operating supplies, equipment, or services for multiple hospitality outlets would be an advantage. Familiarity with suppliers and market pricing in Bali or Indonesia is also beneficial.

What Success Looks Like

  • Purchasing requests are handled accurately and within agreed timelines
  • Orders meet approved specifications, budget requirements, and quality expectations
  • Supplier and purchasing records are complete, current, and easy to review
  • Delivery or invoice issues are followed up promptly and resolved effectively
  • Departments receive clear updates and dependable purchasing support
  • Supplier relationships and purchasing processes support value, reliability, and operational needs
