Job Summary

We are looking for an organized and proactive HR Generalist to join our team. This is a hands-on, execution-focused role where you'll support all aspects of HR operations — from recruiting and onboarding to vendor management and visa/immigration coordination. You'll work closely with leadership, external vendors, and legal partners to keep our people processes running smoothly and ensure compliance. This is a great opportunity for someone with 1–3 years of HR experience who wants to grow their skills in a supportive, fast-paced environment.

Responsibilities

Recruiting & Onboarding

  • Manage full-cycle recruiting: post openings, screen candidates, coordinate interviews, and extend offers.
  • Own the onboarding process: prepare offer letters, complete I-9 verification, set up new hire orientation, and ensure a smooth first-week experience.

Vendor & External Partner Management

  • Serve as the primary point of contact for HR vendors, including background check providers, benefits brokers, payroll service providers, and recruiting agencies.
  • Coordinate vendor onboarding, maintain vendor records, review invoices for accuracy, and escalate service issues as needed.
  • Research and recommend new HR vendors when current contracts expire or needs change.

Visa & Immigration Support

  • Assist with employment-based visa processes (H-1B, L-1, TN, OPT/CPT, etc.) by gathering employee documentation, completing forms, and coordinating with immigration attorneys or visa service providers.
  • Track visa expiration dates and renewal timelines; send reminders to employees and management.
  • Maintain organized immigration files and ensure I-9 compliance for foreign national employees.
  • Answer basic visa questions from employees and managers; escalate complex legal matters to immigration counsel.

Benefits & Payroll Support

  • Support benefits administration: assist employees with enrollment questions, process life event changes, and serve as liaison with benefits providers.
  • Assist with payroll processing: gather timesheet data, verify changes (new hires, terminations, salary adjustments), and support monthly/semi-monthly payroll runs.

Employee Relations & Compliance

  • Handle basic employee relations matters: answer policy questions, document conversations, and escalate sensitive issues to management or legal counsel as needed.
  • Support performance review cycles: distribute forms, track completion, and maintain records.
  • Stay current on FMLA, workers' compensation, and basic employment law requirements; complete required paperwork and escalate complex cases.
  • Assist with OSHA recordkeeping and safety program documentation as applicable.

General

  • Maintain strict confidentiality with all employee data and personnel matters.
  • Support ad-hoc HR projects and administrative tasks as assigned.

Qualifications

  • 1–3 years of experience in HR, recruiting, or a related role.
  • Experience working with external vendors or service providers (HR-related or otherwise).
  • Familiarity with visa/immigration processes — either hands-on experience or strong willingness to learn. Prior exposure to H-1B, OPT, or TN processes is a plus.
  • Basic understanding of employment laws (FMLA, FLSA, anti-discrimination, I-9).
  • Experience with recruiting: posting jobs, reviewing resumes, conducting initial phone screens.
  • Strong organizational skills — you'll juggle multiple tasks, deadlines, and external deadlines (visa filings, vendor renewals) daily.
  • Excellent communication skills; comfortable talking with employees, vendors, and external partners.
  • Associate's or Bachelor's degree in HR, Business, or related field preferred; equivalent experience considered.

Pay: $65,000.00 - $70,000.00 per year
