Tender Executive – Logistics & Bulk Transportation
Company: RK Road Transport Pvt Ltd Location: Raipur, Chhattisgarh (Head Office) Department: Tenders, Contracts & Business Development Reports To: General Manager – Business Development / Management Job Summary We are seeking a detail-oriented and experienced Tender Executive / Manager to handle end-to-end tender lifecycle management for RK Road Transport Pvt Ltd. The candidate will be responsible for sourcing, evaluating, preparing, pricing, and submitting government, PSU, and corporate logistics tenders—specifically in the Steel, Cement, Power, Mining, and Heavy Raw Material (Iron Ore, Coal, Minerals) transport sectors across India.
Key Responsibilities1. Tender Sourcing & Identification
- Regularly track government portals (e-Procurement, GeM, CPPP), PSU websites (NTPC, SAIL, Coal India, NMDC, etc.), and corporate tender announcements for road transport and freight contracts.
- Analyze Tender Documents (RFQ/RFP/NIT) to evaluate scope of work, technical eligibility, financial criteria, and operational feasibility.
2. Documentation, Preparation & Submission
- Prepare technical and commercial tender bid packages with 100% accuracy and compliance with client specifications.
- Compile and maintain a library of standard tender documents: turnover certificates, fleet ownership/lease details, past performance certificates, GST/PAN compliance, Solvency Certificates, and EMDs (Earnest Money Deposits) / PBGs (Performance Bank Guarantees).
- Coordinate online (e-tendering, digital signature key/DSK submission) and offline physical bid submissions prior to deadlines.
3. Freight Costing, Pricing & Commercial Strategy
- Collaborate with internal fleet management, pricing, and route operations teams to calculate competitive freight rates (per ton, per kilometer, or per trip basis).
- Factor in diesel price escalation clauses, toll expenses, transit times, loading/unloading delays, and margin requirements into bidding calculations.
4. Post-Bid Management & Reverse Auctions
- Attend pre-bid meetings, draft technical queries, and request clarifications/corrigendums from tendering authorities.
- Represent the company in Reverse Auctions (RA) and live online bidding events on GeM or corporate portals.
- Track bid outcomes, analyze reasons for winning/losing tenders, and maintain a centralised tender database.
5. Contract Award & Legal Handover
- Manage contract execution post-award, including agreement drafting, PBG submission, and statutory compliance handovers to the operations team.
- Track EMD refunds and Bank Guarantee releases for completed or non-awarded tenders.
Qualifications & Requirements
- Education: Graduate in Commerce, Science, Business Administration, or Logistics / Supply Chain Management.
- Experience: 3–7+ years of hands-on experience in Tender Preparation & E-Tendering within the road transport, heavy logistics, or bulk cargo sector.
- Technical Skills: Proficiency with GeM (Government e-Marketplace), MSTC, CPPP, state e-Procurement portals, Digital Signature Certificates (DSC), MS Excel, and Word.
- Core Competencies: Strong analytical skills, numerical accuracy, legal/contractual understanding, ability to meet tight deadlines, and attention to detail.
