Job Purpose:

We are seeking a detail-oriented and creative Desktop Publisher to design, format, and produce high-quality documents and materials for print and digital distribution, using both traditional desktop publishing software and modern AI-assisted design tools. You will collaborate with designers, writers, marketers, and other stakeholders to ensure visually appealing and brand-compliant output across various media. The ideal candidate has a keen eye for layout, excellent technical skills, comfort with AI-powered production tools, and a strong sense of aesthetics and accuracy.

Job Description (Main Duties and Responsibilities):

  • Create and format documents such as brochures, reports, newsletters, manuals, presentations, and marketing materials using desktop publishing software.

  • Ensure consistency in layout, typography, branding, and visual hierarchy across all produced materials.

  • Collaborate with writers, editors, graphic designers, and marketing teams to bring content to life through effective design and formatting.

  • Convert content between formats (e.g., Word to InDesign, PowerPoint to PDF, Figma to web-ready assets) while preserving design and layout integrity.

  • Prepare print-ready and web-optimised files that meet technical specifications and quality standards.

  • Review and correct layouts for errors in spelling, grammar, style, or formatting before final output.

  • Manage multiple projects simultaneously while meeting deadlines and maintaining quality.

  • Maintain a library of templates, style guides, and branding assets - including reusable Figma/Canva component libraries - for consistency and efficiency.

  • Work with external print vendors or digital platforms when necessary to manage the final output process.

  • Use generative AI tools responsibly to accelerate layout variations, image generation/cleanup, and copy-fit iterations, while ensuring brand and licensing compliance.

  • Stay updated on desktop publishing trends, AI design tools, and best practices to enhance productivity and visual impact.

Key Skills, Qualifications and Experience Needed [The candidate must demonstrate these in all stages of assessment]

  • Proven experience as a Desktop Publisher, Production Artist, or in a similar role up to 3 to 5 years.

  • Strong proficiency in desktop publishing software, particularly Adobe InDesign, Illustrator, Photoshop, and Acrobat Pro.

  • Working knowledge of collaborative and web-based design platforms such as Figma, Canva (including Magic Studio), and Affinity Publisher.

  • Familiarity with AI-assisted design and generation tools such as Adobe Firefly (Generative Fill), Canva Magic Design, or comparable generative AI image/layout tools, and an understanding of their commercial-use and licensing considerations.

  • Proficiency in Microsoft Office Suite (especially Word and PowerPoint) for formatting corporate or business documents.

  • Excellent understanding of layout principles, typography, color theory, and design standards.

  • Ability to follow branding and style guidelines with high attention to detail and accuracy.

  • Familiarity with prepress and print production processes, including bleed, trim, and color profile settings.

  • Strong time management skills and the ability to prioritise and manage multiple deadlines.

  • Good communication skills and the ability to collaborate effectively with cross-functional teams.

  • Ability to troubleshoot document formatting issues and provide quick, creative solutions.

  • Experience creating accessible documents in line with WCAG 2.2 and Section 508 compliance standards.

  • Familiarity with content management systems (CMS) like WordPress, SharePoint, or Adobe Experience Manager.

  • Working knowledge of HTML/CSS for creating and troubleshooting digital materials or web content.

  • Basic motion/video content skills (e.g., Adobe Express, Canva video, or AI video tools such as Synthesia) for multi-format digital campaigns is an advantage.

  • Experience working in corporate communications, education, publishing, or government environments.

  • Understanding of multilingual publishing or working with translated/localised content.

  • Exposure to project management and asset version-control tools like Trello, Asana, Jira, or Figma version history.

Qualifications: Bachelor's degree or above in the UK or Equivalent.

Salary: GBP 31300 to GBP 43800 per annum
