Position Summary

Reporting to the Individual Practice Manager or Individual Practice Supervisor, this position is responsible for key components of Individual Practice.

This role applies advanced APEGA systems expertise to support the implementation of Individual Practice policies and procedures, registrant data analysis, and quality assurance. It is responsible for the collection, review, assessment, and tracking of CPD updates, CPD reviews, annual declaration submissions, Non-Practicing Declaration Reviews, Character Reviews, and Individual Practice Reviews, and makes recommendations on closure, escalation, good standing status, and registrant exception requests.

The Individual Practice Analyst provides advanced analytical oversight, advisory support, and continuous improvement for continuing registration requirements applicable to individual registrants. The role supports consistent, defensible, and equitable administration of compliance, non-compliance, and condition management processes through data-driven analysis, risk identification, procedural development, quality assurance, and framework design to support sound regulatory decision-making and continued practice.

This role will also provide support to the Practice Review Board and Individual Practice Subcommittee (IPSC).

Responsibilities

  • Analyze Individual Practice processes, procedures, internal systems, and registrant user interfaces to support system alignment, process design, implementation planning, and practical mitigation of impacts to business processes and registrant experience.
  • Apply advanced internal systems knowledge and background history to identify and manage risks to Individual Practice business processes, data collection, registrant user experience, and related system changes.
  • Analyze registrant data, communication trends, compliance trends, risk profiles, non-compliance trends, and risk indicators to identify systemic and operational risks, data collection issues, and opportunities for escalation or improvement.
  • Independently complete quality assurance of registrant data and continuing registration determinations, condition design, monitoring outcomes, and supporting documentation to ensure consistency, defensibility, and alignment with statutory and procedural requirements.
  • Manage user acceptance testing, Aptify views, troubleshooting methods, and communication with BP and IT to support efficient data management, process scalability, quality assurance, and business cases for system changes.
  • Lead development of continuing registration procedures, monitoring models, analytical reporting, and recommendations to support durable and consistent decision-making.
  • Identify registrants who must undergo CPD review, issue notifications, track submissions, assess completeness, and recommend cancellation where complete submissions are not provided within required timelines in accordance with Council Cancellation Policy.
  • Analyze CPD review, DAR, renewal of registration, and related continuing registration submissions for completeness, accuracy, compliance, and alignment with CPD practice standards, CPD Review Procedure, CPD Program requirements, CPD-related legislation, and applicable Professional Governance Act requirements.
  • Provide recommendations to the Individual Practice Manager regarding program compliance, submission compliance, continuation, suspension, refusal, cancellation, or escalation where required by the applicable process.
  • Identify potentially fraudulent submissions, condition deficiencies, and other escalation issues, including referral to investigation or appropriate escalation pathways where warranted.
  • Respond to PRB and IPSC inquiries regarding CPD review recommendations, CPD review processes, CPD practice standard requirements, continuing registration case management, and condition tracking.
  • Manage tracking, records, internal system updates, trend analysis, and reporting for monitored licensed professionals, continuing submissions, CPD exceptions, condition submissions, and continuing registration case management.
  • Convert high-level plans into detailed rollout and implementation plans based on technical specifications, internal data system requirements, registrant data risks, current workloads, and related project work.
  • Provide summary reports to the Individual Practice Manager on workloads, projected workloads, implementation results, data trends, themes, and opportunities for improvement within Professional Practice.
  • Analyze registrant data, CPD submissions, CPD update requests, voluntary CPD review submissions, and continuing registration information to assess compliance, completeness, good standing impacts, risk level, and potential non-conformance.
  • Issue required notifications, track completion of CPD and continuing registration requirements, administer registrant good standing status, and independently approve or deny time extensions in accordance with internal policies and technical system requirements.
  • Monitor compliance with registration terms and conditions, prepare analytical assessments and recommendations where continued registration may require further action, and assess matters that may warrant additional terms, conditions, investigation referral, or disciplinary consideration in accordance with the Act.
  • Advise the Discipline Department on feasibility and capacity for condition management and support implementation and monitoring of discipline-ordered conditions.
  • Communicate identified trends, gaps, opportunities for improvement, continuing registration requirements, condition management requirements, and related process information to APEGA departments and stakeholders to ensure consistent internal and external Individual Practice messaging.
  • Compose and draft correspondence, analytical materials, and procedural documentation issued to registrants or used to support continuing registration, condition management, and statutory body processes.
  • Provide subject matter expert responses and guidance for internal and external inquiries related to Individual Practice, continuing registration, condition management, and related processes.
  • Review Individual Practice content for clarity, accuracy, and consistency across the APEGA website, registrant interfaces, internal policies, procedures, and other communication materials.

  • Thorough understanding of what is and what is not engineering or geoscience work, combined with the ability to articulate and explain it clearly.
  • Work with databases, internal systems, and registrant interfaces to verify and input information, identify data trends, develop reports, and perform data analysis.
  • Investigate and resolve CPD and continuing registration issues, follow up on missing information, and apply high attention to detail to licensed professionals’ DAR and condition submissions.
  • Explain CPD review procedures, continuing registration processes, responsibilities, and process requirements to licensed professionals.
  • Apply critical decision-making within regulatory governance guidelines and resolve conflict with stakeholders.
  • Influence others through clear explanation of CPD-related legislation, Practice Review Board policies, related legislation, and APEGA policies, supported by strong verbal and written communication.
  • Demonstrate superior interpersonal communication, leadership, collaboration, and service-focused stakeholder support while delivering regulatory objectives.

Qualifications

  • Completion of a post-secondary diploma from an accredited business college, including Microsoft Office Suite, business procedures, and information management, is mandatory; a post-secondary degree in a related field alongside work-related experience is a strong asset.
  • 5-8 years of progressively responsible administrative experience in a setting providing advice or carrying out administrative processes to support compliance with policies, procedures, and acts, preferably in a regulatory environment where legislative functions are enforced.
  • Experience interpreting policy and legislative guidelines, providing advisory support, collecting evidence, reviewing document compliance requirements, supporting investigations, and applying procedural fairness, administrative law, and regulatory escalation pathways is required.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams, and Outlook) is required; Aptify experience is an asset.
  • Completion of CLEAR’s National Certified Investigator & Inspector Training, basic and/or specialized, and training in crucial conversations and conflict management will be considered assets.
