Job Summary
Toolcom Innovation Solution Pvt. Ltd. is looking for a proactive, organized, and detail-oriented Dispatch Officer to oversee daily dispatch operations and ensure the timely delivery of finished products to customers. The ideal candidate will coordinate with the Production, Quality, Stores, and Logistics teams to ensure accurate documentation, proper packaging, inventory accuracy, and on-time deliveries while maintaining the company's quality and safety standards.
Key Responsibilities
- Plan, organize, and execute daily dispatch activities as per customer delivery schedules.
- Verify finished goods against Purchase Orders (PO), Delivery Challans, Invoices, and Packing Lists.
- Coordinate with Production, Quality, Stores, and Logistics departments for smooth dispatch operations.
- Prepare and verify dispatch documents, including:
- Delivery Challan
- Tax Invoice
- E-Way Bill
- Packing List
- Transport Documents
- Ensure proper packing, labeling, and safe loading of materials to prevent transit damage.
- Coordinate with transporters for vehicle availability, shipment scheduling, and dispatch planning.
- Track dispatched materials and follow up until successful customer delivery.
- Maintain accurate dispatch registers and update ERP/MS Excel records regularly.
- Monitor pending dispatches and communicate delivery status to customers and internal departments.
- Handle courier dispatches for samples, spare parts, and important documents.
- Ensure FIFO (First In, First Out) practices wherever applicable.
- Support inventory verification, stock reconciliation, and periodic audits.
- Report shortages, damages, dispatch delays, or transportation issues to the reporting manager.
- Ensure compliance with company quality procedures, safety standards, and customer requirements.
- Maintain 5S and housekeeping standards in the dispatch and warehouse areas.
Required Skills
- Knowledge of dispatch, warehouse, and logistics operations.
- Familiarity with GST documentation, Delivery Challan, Tax Invoice, and E-Way Bill preparation.
- Proficiency in MS Excel and ERP software.
- Good communication, coordination, and interpersonal skills.
- Strong organizational and documentation abilities.
- Ability to prioritize work and meet delivery deadlines.
- Basic knowledge of inventory control and material handling.
- Problem-solving ability with attention to detail.
Qualification
- Diploma or Bachelor's Degree in Mechanical Engineering, Commerce, Supply Chain Management, Logistics, or any relevant discipline.
Experience
1–5 Years of experience in Dispatch, Stores, Warehouse, or Logistics operations within a Manufacturing or Engineering Industry.
