Job Requirements

Based at Torquay / Exeter HQ, the Executive Assistant will provide dedicated, high-level support to the Head of Operations, ensuring their time, priorities, correspondence and key operational projects are managed effectively. This is a senior support role that goes beyond general administrative work, it requires sound judgement, discretion, and the confidence to represent the Head of Operations professionally with internal teams, external partners, Stakeholders, parents and members.

The role will support the smooth day-to-day running of the operations function, coordinating across centres in Exeter, Torquay, Taunton and Barnsley on behalf of the Head of Operations.

Nature of the role

This is a full-time role of 40 hours per week, worked as 30 / 40hours onsite at Torquay/Exeter HQ with the potential 10 hours hybrid. Core onsite hours will be agreed to align with the Head of Operations' working pattern.

Applicants must be flexible to work occasional additional hours to support Senior Leadership Team meetings, events or operational deadlines as required, on agreement.

Key responsibilities:

The key responsibilities below are associated with the role of Executive Assistant to the Head of Operations and are not exhaustive.

Manage and prioritise the Head of Operations' diary, resolving scheduling conflicts and anticipating clashes before they arise. Act as first point of contact for the Head of Operations, screening and triaging emails, calls and requests, and responding on their behalf where appropriate. Draft, proofread and manage correspondence, exercising discretion on sensitive or confidential matters. Prepare briefing packs, reports and presentation materials for Senior Leadership Team meetings. Take minutes at senior meetings and track actions through to completion. Coordinate cross-centre operational projects on behalf of the Head of Operations, liaising with centre managers across Exeter, Torquay, Taunton and Barnsley. Arrange travel, accommodation and itineraries for the Head of Operations as required. Coordinate offsite meetings, away days and events led by the Operations function. Maintain confidential files, records and documentation relevant to operations. Provide overflow support to the wider admin team where appropriate. Undertake any other duties that may be necessary and appropriate to the level/grade of the job.

General:

Travel as required for business to support other centres and to meet wider business needs. Maintain and promote workplace as a clean and healthy environment.

Skills required:

Proven experience in an Executive Assistant, PA, or senior administrative role, ideally supporting a senior leader (E) Excellent written and verbal communication skills (E) Strong organisational skills with the ability to manage competing priorities under pressure (E) High level of discretion and professionalism when handling confidential information (E) Proficient in Microsoft Office / Google Workspace (E) Able to work independently and use initiative with minimal supervision (E) Experience working across multiple sites (D) Experience within an education, youth services or operations environment (D) Project coordination experience (D)

Qualifications required:

A range of GCSEs A* to C or equivalent.

Personal qualities required:

Able to engage positively with the Senior Leadership Team, centre managers, members and their families. Experience of working with a diverse team across multiple locations. Works with enthusiasm and wants to see both personal and team growth. Takes pride in the team's and their own success. Able to think quickly and calmly under pressure, and exercise good judgement.

Training Description:

Tubers Academy believes that effective training and support is critical for all team members to succeed and thrive in their roles. The successful candidate will be required to undertake training on both the technology and business procedures and policies. In-house training listed below but not limited to:

IT systems, hardware and software used within the Academy setting. Policies and Procedures of our service, including Safeguarding, Data Protection and Health & Safety. Continuous CPD and training as agreed.

This role is subject to a enhanced DBS check with a 6-month probationary period.
