About us
UCL is one of the world's top universities based in the heart of London. It is a modern, outward-looking institution. UCL's staff and former students have included 33 Nobel prize winners. It is a truly international community: more than one-third of our student body – more than 35,000 strong – come from 150 countries and nearly one-third of staff are from outside the UK.
About the role
The Operations Administrator will provide professional services support to the staff and students in two major research groups (HEP and AMOPP) which includes staffing support, and operational and events support. The role is being offered as a job share, with one post being used to support the High Energy Physics (HEP) group and the other supporting the Atomic, Molecular, Optical and Positron Physics (AMOPP).
There will be aspects of the role that will be shared across the both including being the main point of contact for managing the delivery of goods, ad hoc travel and accommodation requirements, arranging meetings, room bookings and minute taking, logistical support with events and dealing with departmental communications.
If you have any informal queries about the role, please contact our HR Team - hr_physast@ucl.ac.uk
This is a job share at 0.5 FTE - 18.75 hours per week - onsite. Due to the nature of this role, the post holder(s) will need to work onsite. Unfortunately, we will not be able to consider hybrid working arrangements.
About you
The successful candidate will have appropriate qualifications, such as GCSEs in English and Mathematics or equivalent experience, alongside sound administrative knowledge gained in a complex organisation, ideally within higher education or research.
They will be confident using Microsoft Office and online systems, with strong written and verbal communication skills, good attention to detail, and the ability to manage competing priorities effectively.
They will bring experience of providing professional, customer-focused support to senior staff and a wide range of internal and external contacts, including knowledge of basic financial processes such as purchasing.
They will be organised, proactive and flexible, able to use initiative, work well as part of a team, handle sensitive information professionally, and build effective working relationships across diverse groups.
