About the Role
This is a senior individual contributor role with no direct reports. You will start in Delivery & Operations, supporting the customer journey from signed solar-and-battery sale through site review, scheduling, installation, and rebate. As the business grows, you may be deployed to other departments that need the same structure.
The environment is fast-paced, software-driven, and has no layers. Products, pricing, booking rules, and processes can change within days, and decisions are expected to be implemented quickly.
The Four Things You Own
1. Own the system.
The department’s system of record and its reporting. You structure it and report from it; IT builds what you spec.
- Own how the system (HubSpot and related tools) is structured: pipelines, stages, fields, and workflows that reflect how the operation actually runs.
- Keep its data clean and trusted, and fix issues before they reach reporting.
- Build and maintain the department’s dashboards, KPIs, and operational reports.
- Write clear specs for system changes and work with IT to get them built.
- Find and remove manual work through better workflows and automation.
2. Run the head’s rhythm.
Huddles, actions chased to closure, their updates upward, the filter on what reaches them.
- Run daily huddles and weekly operational reviews, with agendas and reports prepared in advance.
- Track decisions, actions, owners, and deadlines, and chase every action to closure.
- Draft the department head’s updates to leadership.
- Act as the filter: resolve what you can, and bring the head only what needs their decision.
- Escalate blockers, overdue actions, and risks early.
3. Own the SOPs.
One library, current. Nothing changes without a one-pager and a team briefing.
- Maintain a single SOP and process library for the department, kept up to date.
- Map and document current and improved ways of working.
- For every process change, write a one-pager and brief the team before it goes live.
- Check that new processes are being followed, and update documentation when they aren’t working.
4. Push improvement through.
Projects scoped on a page, tracked, and closed only when the change has stuck.
- Maintain a register of improvement initiatives.
- Scope each one on a single page: problem, owner, timeline, and success measure.
- Coordinate the work across Operations, Sales, Customer Service, IT, Finance, and Marketing, without direct authority.
- Track progress, risks, and dependencies.
- Close a project only when the change has stuck and the result is measured.
What You Will NOT Do
- Manage or supervise employees. People management stays with Team Leads and Managers.
- Act as the technical developer of business systems. You spec; IT builds.
- Take customer calls, close sales, or book installations as your primary responsibility.
- Own every operational task in the department.
- Wait for perfect information before acting.
Who You Are
Must have
- 3+ years in operations for a service, delivery, marketing, or sales function, at team-lead or senior-analyst level.
- You have owned a CRM or ticketing system: configured it and built its reports, not just used it.
- You have moved people who did not report to you, and can give specific examples.
- A documentation habit already formed. You can show SOPs or process documents you have written and maintained.
- Written English that an Australian director can forward unedited.
- Comfortable with fast change, incomplete information, and working onsite in Ortigas during Australian business hours.
Good to have
- HubSpot configuration, workflow design, or reporting.
- NetSuite, Lark, or field-service and scheduling platforms.
- Solar, renewable energy, installation, or field-service operations.
- E-commerce, BPO/shared services, or other fast-growing environments.
- Lean Six Sigma or other process improvement methods.
- Using AI tools for reporting, documentation, or workflow improvement.
What Success Looks Like
- The system of record is trusted, and its reports show what is happening before anyone asks.
- The department head spends their time on direction and decisions, not chasing updates.
- Every action from huddles and reviews has an owner and gets closed.
- The SOP library is current, and no process changes without a one-pager and a briefing.
- Improvement projects close with a measured result, and the change sticks.
Pay: Php60,000.00 - Php80,000.00 per month
